Job summary

PERSOL Malaysia is seeking a Logistics Document Specialist in Penang. You will source vessel space, process bookings, and optimize container consolidation to ensure smooth import/export operations.

You will liaise with shipping lines and agents to maintain accurate documentation and respond to client inquiries promptly. The role requires independent work, attention to detail, and preference for candidates with freight/logistics experience.

Qualifications

• Candidate must possess at least SPM/STPM/Diploma or higher in logistics-related fields.
• Proficient in Microsoft Office applications.
• Strong verbal communication and interpersonal skills.
• Detail-oriented and able to work independently under pressure.
• INCOTERM knowledge is an added advantage.
• Willing to work at Jelutong Island Penang office.
• Experience in freight forwarding or logistics preferred.

Responsibilities

• Sourcing and booking vessel space and equipment.
• Process bookings and execute orders.
• Plan and optimize consolidation containers.
• Handle day-to-day shipping operations for imports/exports.
• Liaise with shipping lines, forwarding agents and hauliers for accurate documentation and smooth shipments.
• Respond to client inquiries via phone or email promptly and accurately.
• Maintain filing system for all documents for easy retrieval.
• Communicate cargo status to senders and shippers via email.
• Manage customer expectations and maintain dept. service levels.
• Ad-hoc operation tasks as assigned.

• Sourcing and Booking of vessel space and equipment's
• Process bookings and executes pertinent orders
• Planning and optimizing consolidation containers
• Responsible for day-to-day shipping operations import and export shipment matters.
• Liaising with Shipping Lines, Forwarding Agents and Haulier to ensure accuracy in documentation and smooth movement of shipment
• Attend to all clients’ inquiries via telephone or email and to response timely and accurately to their queries
• Maintain a proper and efficient filing system of all documents for easy and systematic retrieval
• Follow-up and communicate cargo status to send by destination and shippers via email
• Managing customer expectation and maintaining department's customer service level to Shippers
• Ad-hoc operation tasks as assigned

Requirements

• Candidates must possess at least SPM/STPM/Diploma, Advanced/Higher /Graduate Diploma, Logistic/Transportation, Maritime Studies or equivalent.
• Basic computer knowledge required for Microsoft Office applications
• Effective verbal communication and interpersonal skills
• Ability to learn fast and pays attention to details.
• Able to work independently and under pressure with confident skill level.
• Candidate with INCOTERM knowledge is an added advantage
• Applicant must be willing to work at assigned at jelutong island Penang office.
• Experience working in freight forwarding or logistics companies will be preferred
