JOB DESCRIPTION: HR OPERATIONS EXECUTIVE / SENIOR EXECUTIVE
About the Role
We are looking for a detail-driven and proactive HR Operations Executive / Senior Executive to join our Human Resources team. In this role, you will be the backbone of our HR department, ensuring that dayto‑day HR processes, employee lifecycle management, and HR systems run smoothly and efficiently.
The ideal candidate has a strong grasp of local labor laws, exceptional organizational skills, and a passion for delivering a seamless employee experience from onboarding to offboarding.
Key Responsibilities
- Employee Lifecycle Management: Manage end-to-end onboarding and offboarding processes, including issuing employment contracts, preparing offer letters, collecting documentation, and conducting exit interviews.
- HRIS & Data Management: Maintain accurate and up-to-date employee records in our Human Resource Information System (HRIS) and manage personnel files in compliance with data privacy regulations.
- Payroll & Benefits Support: Collaborate with the Finance/Payroll team to ensure timely and accurate monthly payroll processing, statutory contributions (e.g., EPF, SOCSO, EIS, PCB), and administration of employee benefits (insurance, medical claims, leaves).
- Policy Implementation & Compliance: Ensure company HR policies, standard operating procedures (SOPs), and practices comply with local labor laws and regulations.
- HR Reporting & Analytics: Generate regular and ad-hoc HR reports (headcount turnover, leave utilization, etc.) to support leadership in data-driven decision-making.
- Process Improvement: Identify bottlenecks in current HR operations and propose/implement automation or workflow improvements to enhance efficiency.
- Employee Support: Act as the first point of contact for employee inquiries regarding HR policies, benefits, and general employment matters.
Key Requirements & Qualifications
- Education: Bachelor’s Degree in Human Resource Management, Business Administration, Psychology, or a related field.
- Experience: For Executive Level: Minimum 2 to 3 years of working experience in HR operations or generalist roles. For Senior Executive Level: Minimum 4 to 6 years of relevant experience, with proven capability to handle complex operational workflows independently.
- Legal Knowledge: Sound understanding of local employment acts, labor laws, and statutory compliance.
- Tech-Savvy: Proficient in MS Office / Google Workspace (advanced Excel/Google Sheets is a strong plus) and familiar with HRIS platforms (e.g., Workday, Darwinbox, Kakitangan, or similar).
- Soft Skills: exceptional attention to detail, strong problem‑solving abilities, high integrity when handling confidential data, and excellent verbal/written communication skills.
