The Human Resources Executive is responsible for supporting the full spectrum of HR operations and ensuring the effective implementation of HR policies, procedures and processes across the organisation. The role acts as a key support to the HR Manager in managing employee lifecycle activities, payroll coordination, recruitment, employee relations, performance management, HR compliance, HR reporting and continuous improvement initiatives. The role requires strong hands-on HR operational capability, attention to detail, confidentiality and the ability to manage multiple HR functions in a multi-site business environment.
Key responsibilities
- Manage and coordinate the full employee lifecycle, including recruitment, onboarding, confirmation, transfer, promotion, resignation and termination
- Prepare and issue HR-related documentation such as appointment letters, confirmation letters, transfer letters, promotion letters, salary adjustment letters, bonus and increment letters, and resignation/termination documents.
- Assist the HR Manager in compiling performance-related data and reports.
- Maintain accurate and up-to-date employee records, HR databases and personnel files
- Coordinate monthly payroll processing to ensure accuracy, timeliness and confidentiality
- Support end-to-end recruitment activities including job posting, candidate sourcing, screening, interview coordination, selection and offer preparation
- Provide guidance to employees and supervisors on HR policies, procedures and employment-related matters
- Coordinate the performance appraisal process and ensure timely completion across departments
- Ensure HR practices comply with applicable Malaysian employment laws and Company policies
- Assist in managing foreign worker documentation, including work permits, renewals and other related requirements
- Identify HR-related gaps, risks, operational issues and areas requiring corrective or preventive action.
- Prepare a comprehensive HR Site Visit Report following each visit, highlighting key observations, issues identified, risks, areas for improvement and recommended actions.
- Provide practical recommendations to improve HR processes, employee management, compliance, workforce management and operational effectiveness.
- Prepare regular HR reports including headcount, turnover, recruitment status, attendance, overtime and employee movements
What we're looking for
- 3-5 years' experience in a generalist HR role, preferably in the consulting or professional services industry.
- Familiarity with Malaysian employment laws and HR best practices.
- Strong business acumen with the ability to understand and support the strategic goals of the organisation.
- Proactive, self-motivated and able to work independently with minimal supervision.
- Strong problem-solving and critical-thinking skills, with the ability to identify HR issues, assess risks and propose practical solutions.
- A positive and solution-oriented mindset, with the initiative to take ownership of tasks and follow through to completion.
- Willingness to share ideas, contribute suggestions and actively participate in brainstorming and continuous improvement initiatives.
- Ability to challenge existing processes constructively and recommend better, more efficient ways of working.
- Excellent communication and interpersonal skills with the ability to effectively engage with employees at all levels.
- Proficient in HR information systems and data analysis to support HR decision-making.
- Strong attention to detail, confidentiality and organisational skills.
- Tertiary qualification in Human Resources, Business Administration or a related field.
- Willing to travel to Sabah branches/sites for work as required.
