Next Energy Sdn. Bhd. is seeking an IT Systems & Infrastructure Executive to lead internal system development, digitalization, and user adoption across departments.
The role focuses on implementing and maintaining systems, managing access, assets, and security while enabling efficient digital workflows. The candidate should have 2–5 years in IT systems/infrastructure, strong troubleshooting, and communication skills.
IT Systems & Infrastructure Executive is responsible for managing and developing the company’s internal IT systems, infrastructure, and technology environment. The role will lead to the setup and implementation of systems across departments, ensure effective system adoption, provide user training and support, and manage company IT assets and access controls. This position will also oversee the maintenance, security, and reliability of IT infrastructure while continuously identifying opportunities to improve and digitalize business processes.
Key Responsibilities
Internal System Development & Implementation
Identify opportunities to improve internal processes through technology and systemization.
Build, configure, and implement internal systems based on the company’s operational requirements.
Set up and customize systems for different departments according to their workflows and needs.
Work closely with department heads and users to understand requirements and improve system functionality.
Ensure systems are properly documented, maintained, and continuously improved.
Coordinate with external vendors or software providers where required.
Department System Setup & Process Digitalization
Assess each department’s current processes and identify areas suitable for digitalization.
Set up appropriate tools, systems, workflows, and access permissions for each department.
Ensure systems are structured according to the company’s processes, roles, and reporting requirements.
Assist departments in migrating from manual processes to digital systems.
Monitor system usage and identify gaps or areas requiring improvement.
System Adoption & User Management
Drive user adoption and ensure employees actively utilize the systems provided.
Monitor whether departments are using systems according to the required processes.
Follow up with users and department heads on system adoption and compliance.
Gather user feedback and recommend improvements to management.
Troubleshoot basic system and user-related issues.
IT Training & User Support
Conduct onboarding and system training for new and existing employees.
Prepare user guides, SOPs, training materials, and system documentation.
Provide ongoing support and guidance to employees on the use of internal systems.
Conduct refresher training when systems or processes are updated.
Ensure users understand the correct procedures for accessing and using company systems.
IT Assets & Device Management
Maintain an updated inventory of all company IT assets, including laptops, desktops, mobile devices, monitors, printers, and other equipment.
Manage the allocation, return, and transfer of IT equipment.
Maintain proper records of device ownership, serial numbers, users, and asset status.
Coordinate repairs, replacements, upgrades, and disposal of IT assets.
Establish and maintain proper IT asset management procedures.
Device & Access Control
Manage user access to company systems, applications, devices, and shared resources.
Create, modify, and deactivate user accounts according to employee movement and authorization requirements.
Ensure access rights are aligned with employees’ roles and responsibilities.
Maintain proper access control records.
Conduct periodic reviews of user access and remove unnecessary or inactive access.
Support access management for new joiners, transfers, and leavers.
IT Infrastructure Management
Manage and maintain the company’s IT infrastructure, including network, Wi-Fi, servers, cloud services, printers, and related systems.
Monitor infrastructure performance, availability, and reliability.
Perform basic troubleshooting and preventive maintenance.
Identify infrastructure issues and resolve or escape them where necessary.
Coordinate with external IT vendors and service providers when required.
Support infrastructure upgrades, improvements, and expansion as the company grows.
IT Security & Compliance
Implement and maintain basic IT security controls and best practices.
Ensure company devices, systems, and accounts are protected from unauthorized access.
Support data backup, access control, and security procedures.
Assist in implementing IT-related policies, SOPs, and controls.
Identify and elevate potential IT security risks or incidents to management.
Job Specification
Diploma or bachelor's degree in information technology, Computer Science, Information Systems or related field.
2–5 years of relevant experience in IT systems, IT infrastructure, system administration, IT support, or a similar role.
Experience with business systems, CRM/workflow platforms and AI productivity tools such as Bitrix24, Claude, or similar platforms will be an added advantage.
Experience in implementing or managing internal business systems is an advantage.
Good understanding of IT infrastructure, networking, devices, and access management.
Experience in system implementation and user training.
Strong troubleshooting and problem-solving skills.
Good communication and interpersonal skills, with the ability to work with different departments.
Proactive, hands‑on, and willing to take ownership of IT systems and projects.
Ability to understand business processes and translate them into practical technology solutions.
Ability to prepare SOPs, system documentation, and user guides.
