Responsible for managing daily human resource operations, employee administration, recruitment, payroll coordination, statutory compliance, employee relations, and HR documentation to ensure smooth and compliant HR operations.
Maintain and update employee personal files, records, contracts, and HR documentation.
Prepare employment letters, confirmation letters, warning letters, memos, and other HR documents.
Maintain attendance, leave, overtime, and employee movement records.
Ensure proper filing and confidentiality of employee information.
Manage recruitment activities including job postings, candidate screening, interviews, and selection.
Coordinate new employee onboarding, orientation, documentation, and induction.
Monitor probation periods and prepare confirmation or extension documentation.
Coordinate monthly payroll preparation, including attendance, overtime, allowances, deductions, and employee changes.
Verify payroll information and liaise with Finance for salary payment.
Monitor attendance and overtime records and ensure proper approval.
Administer and coordinate statutory matters including EPF, SOCSO, EIS, PCB, HRD Corp, and other applicable statutory requirements.
Ensure HR practices and documentation comply with the Employment Act 1955 and other applicable Malaysian employment laws.
Handle employee enquiries, grievances, disciplinary matters, and workplace issues.
Assist management in investigations, counselling, disciplinary actions, and performance management.
Maintain proper documentation for employee relations cases.
Implement and maintain HR policies, procedures, and employee handbook.
Review HR practices and recommend improvements where necessary.
Ensure employees and management understand and comply with company HR policies.
Coordinate employee training, induction, competency development, and training records.
Assist in identifying training needs and maintaining relevant training documentation.
Monitor probation, confirmation, performance reviews, and Performance Improvement Plans (PIP).
Assist managers in preparing and documenting performance-related matters.
Administer employee benefits, allowances, medical claims, uniforms, assets, and other employee welfare matters.
Maintain proper records of company-issued assets and employee-related deductions or deposits.
Prepare HR reports and manpower updates for management.
Maintain accurate records relating to headcount, turnover, absenteeism, overtime, recruitment, and other HR activities.
Liaise with government agencies, statutory bodies, recruitment agencies, training providers, and other external parties when required.
Willing to undertake ad-hoc tasks and assignments as required by Management, including tasks outside the usual scope of the position, where reasonably required for business operations.
Support HR audits, inspections, and compliance requirements.
Perform other HR-related duties and responsibilities as assigned by Management.
