We are seeking a proactive and detail-oriented personnel to support a broad range of Human Resources and General Affairs functions. The incumbent will play a key role in talent acquisition, employee administration, staff engagement, vendor management, HR expenses support, records management, agency workforce coordination, as well as supporting HR and GA Head as and when required.
This position requires strong organizational skills, stakeholder management, and the ability to manage multiple priorities in a dynamic environment. The successful candidate will initially be engaged under a 4-month contract with Sony Malaysia through a third-party agency for onboarding and training purposes. Upon satisfactory completion of this period, the candidate will be offered a permanent full-time position with BRAVIA Malaysia.
Key Responsibilities
Talent Acquisition
Coordinate end-to-end recruitment activities, including job posting, candidate sourcing, interview scheduling, reference checks, and onboarding.
Liaise with hiring managers and recruitment agencies to support hiring needs.
Maintain recruitment records and track hiring progress.
Support internship and contract workforce recruitment activities.
HR Administration
Manage employee lifecycle administration, including onboarding, confirmation, transfers, resignations, and offboarding.
Maintain and update employee records, HR databases, and personnel files.
Prepare HR letters, reports, and documentation.
Ensure compliance with company policies and statutory requirements.
Coordinate office administrative matters and employee and office related facilities.
Support company events, meetings, and internal communication activities.
Liaise with internal departments and external service providers on administrative matters.
Employee Welfare & Engagement
Plan and coordinate employee engagement activities, wellness initiatives, and welfare programs.
Support employee surveys, recognition programs, and communication campaigns.
Assist in organising company events, celebrations, and staff activities.
Monitor employee feedback and recommend improvement initiatives.
Agency Contract Support
Coordinate contract employee onboarding, renewals, and offboarding processes.
Maintain agency workforce records and headcount tracking.
Liaise with manpower agencies regarding employment matters, documentation, billing, and compliance requirements.
Expenses & Systems Management
Support expense monitoring, and monthly forecasting activities.
Process invoices, accruals, and payment submissions.
Maintain expense records and ensure timely processing of transactions.
Support systems administration and data accuracy.
Coordinate with vendors, i.e. recruitment agencies, training providers, medical providers, and employee benefit vendors.
Monitor contract validity, service quality, and vendor performance.
Support procurement processes, quotation comparisons, and vendor evaluations.
Records Retention Administration
Maintain documents and records in accordance with company retention policies.
Ensure secure handling, storage, archiving, and disposal of records.
Support audit and compliance requirements related to document management.
Maintain records retention schedules and documentation registers.
Requirements
Bachelor's Degree in Human Resources, Business Administration, Management, or related discipline.
2-5 years of experience in Human Resources, HR Operations, or Administration.
Experience in recruitment, employee administration, or HR operations is preferred.
Strong proficiency in Microsoft Excel, PowerPoint, and HR systems.
Good analytical, organisational, and problem-solving skills.
Strong communication and stakeholder management abilities.
Able to work independently while managing multiple priorities and deadlines.
Detail-oriented with a strong focus on compliance and process governance.
