G3 (SG) Pte Ltd. is seeking an Executive, People Operations (Generalist) based in Malaysia. You will manage end-to-end recruitment, coordinate interview scheduling with managers and senior leadership, and partner with hiring managers to develop recruitment strategies.

Manage the end-to-end recruitment process, including job postings, candidate sourcing, resume screening, interview coordination, salary proposals, offer preparation, and employment documentation.
Coordinate and manage interview scheduling with hiring managers and senior management, including candidate communications and interview invitations.
Partner with hiring managers to understand manpower requirements and develop effective recruitment strategies and talent pipelines.
Liaise with recruitment agencies, job portals, universities, and other external partners to support hiring initiatives.
HR Administration
Maintain accurate and up-to-date employee records, both physical and electronic, ensuring data accuracy, confidentiality, and compliance with company policies.
Prepare and issue HR-related documents, including Employment Contracts, Confirmation, Promotion, Transfer, Warning, Show Cause, Resignation Acceptance, Termination, and other employment-related letters.
Support onboarding and offboarding processes, including document collection, orientation coordination, employee record updates, and asset clearance.
Manage HR filing systems and ensure all employee documentation is maintained in an organised and confidential manner.
Manage the end-to-end inventory and administration of employee uniforms, aprons, company passes, staff IDs, and other company-issued assets, including issuance, tracking, replacements, and returns.
Oversee office and building access card administration, ensuring proper issuance, retrieval, record maintenance, and access control.
Manage incoming and outgoing office mail, courier arrangements, and distribution of HR-related correspondence where applicable.
Maintain and update organisational charts, employee databases, and HR documentation.
Prepare weekly and monthly HR reports, including recruitment updates, headcount movements, manpower planning, turnover statistics, and other HR metrics for Management.
Employee Relations & Compliance
Act as the primary point of contact for employees regarding HR policies, procedures, and employment-related matters.
Support employee relations by handling employee enquiries, conducting investigations where required, assisting with disciplinary matters, and supporting conflict resolution.
Work closely with managers on probation reviews, performance evaluations, employee development, and other performance management initiatives.
Ensure compliance with the Employment Act 1955, Industrial Relations Act 1967, and other applicable Malaysian employment legislation, as well as company policies and HR best practices.
Stay updated on changes to Malaysian labour laws and HR best practices, recommending improvements to HR policies, procedures, and processes where appropriate.
General
Support HR projects, employee engagement initiatives, policy implementation, and continuous improvement activities.
Perform other HR-related duties and ad hoc assignments as assigned by Management.
Bachelor's Degree or Diploma in Human Resource Management, Business Administration, or a related discipline.
Minimum 1-2 years of experience in Human Resources, preferably in a HR Generalist or Talent Acquisition role.
Strong knowledge of the Employment Act 1955, Industrial Relations Act 1967, and other relevant Malaysian employment legislation.
Experience managing the full recruitment lifecycle and employee lifecycle processes.
Familiarity with handling employee relations, disciplinary matters, and HR documentation.
Excellent interpersonal and communication skills with the ability to build strong working relationships across all levels of the organisation.
Strong organisational, time management, and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment.
Proactive, resourceful, detail-oriented, and able to work independently with minimal supervision.
High level of integrity and professionalism, with the ability to handle confidential information.
Proficient in Microsoft Office applications (Excel, Word, PowerPoint). Experience with HRIS systems will be an added advantage.
Candidates with exposure to Singapore employment practices or regional HR operations will have an added advantage.
