About the role

We are seeking an HR and Account Executive to join us in Shah Alam, Selangor. This is a full-time position that plays a crucial role in supporting our HR and accounting operations. The HR and Account Executive will be instrumental in ensuring the smooth day-to-day functioning of our finance and administrative departments, providing essential support to senior staff and contributing to the overall efficiency of our organisation.

Key responsibilities
  1. Recruitment & Talent Acquisition: Manage the end-to-end recruitment process, including job posting, candidate screening, interview coordination and offer preparation. Coordinate with hiring managers to understand manpower requirements and job specifications. Prepare employment offers, employment contracts and other onboarding documents. Maintain a database of candidates and recruitment records. Monitor recruitment progress and follow up with hiring managers and candidates.
  2. Employee Onboarding & Offboarding: Coordinate new employee onboarding and ensure all required documentation is completed. Prepare employment contracts, employee information forms and other HR documents. Conduct HR briefings for new employees on company policies, benefits, working hours and procedures. Manage employee resignation, termination and exit procedures. Ensure company property and documentation are properly returned upon employee departure.
  3. Employee Records & HR Administration: Maintain accurate and up-to-date employee personal files and HR records. Maintain records relating to employment contracts, probation, confirmation, transfers, promotions and salary adjustments. Monitor important employment dates, including probation periods, contract expiry and other HR-related deadlines. Ensure HR documentation is properly filed and easily retrievable. Maintain confidentiality of employee information and sensitive HR matters.
  4. Attendance, Leave & Claims: Monitor employee attendance, punctuality, overtime and absenteeism. Administer annual leave, medical leave, emergency leave and other types of employee leave. Verify and maintain employee leave records. Process employee medical, travel and other company-related claims according to company policy. Follow up on incomplete or inaccurate claims and supporting documents. Identify attendance or leave issues and elevate them to management where necessary.
  5. Payroll & Statutory Matters: Assist in preparing and processing monthly payroll accurately and on time. Verify attendance, overtime, allowances, deductions, unpaid leave and other payroll inputs. Maintain payroll records and supporting documentation. Liaise with relevant parties regarding payroll-related enquiries. Handle statutory submissions and payments, including EPF, SOCSO, EIS, PCB/MTD and other applicable statutory requirements. Keep up to date with changes to Malaysian employment and statutory requirements.
  6. Performance Management & Probation: Monitor employees' probation periods and ensure timely follow-up with respective supervisors or HODs. Prepare probation review and confirmation documentation. Assist management in handling performance-related matters and performance improvement processes. Maintain proper documentation relating to employee performance, warnings and other employment matters. Follow up with HODs to ensure performance reviews are completed on time.
  7. Employee Relations & Disciplinary Matters: Assist management in handling employee grievances, misconduct, attendance issues and other employee relations matters. Prepare relevant HR documentation, including warning letters, show‑cause letters, probation extensions, confirmation letters and other employment‑related correspondence. Maintain proper records of disciplinary and employee relations cases. Ensure HR actions are carried out consistently and in accordance with company policies and applicable employment laws. Escalate sensitive or high‑risk employee matters to management when appropriate. Assist in developing, reviewing and implementing HR policies and procedures. Ensure company HR practices comply with applicable Malaysian employment laws and regulations. Keep management informed of significant changes in employment legislation and statutory requirements. Maintain proper HR documentation for audit and compliance purposes. Assist in preparing the company employee handbook and other internal HR guidelines.
  8. Training & Employee Development: Coordinate internal and external training programmes. Maintain employee training records and training attendance. Assist in identifying training requirements with HODs. Coordinate HRD Corp-related matters where applicable. Follow up on employee training commitments and documentation. Assist with the administration of foreign employees/workers, including documentation, permits and employment records. Monitor expiry dates of relevant work permits, passports and employment‑related documents. Liaise with relevant agencies and service providers when required. Ensure required documentation is properly maintained and updated.
  9. Accounting: Ensure timely billing to stakeholders and compliance with AR procedures by generating statement of account, invoices, debit notes, and credit notes. Process supplier invoices, bills and payment requests. Verify invoices against purchase orders, delivery orders and other supporting documents where applicable. Assist in maintaining accurate inventory‑related accounting records. Assist with inventory reconciliation where required. Coordinate with purchasing, warehouse and production teams to resolve accounting or costing discrepancies. Manage the company's e‑Invoice processes and ensure invoices are issued and submitted correctly. Ensure accounting records are properly supported by valid invoices and relevant documentation.
  10. General Administration: Liaise with external vendors, government agencies, consultants and service providers when required. Assist management with company events, staff activities and other administrative matters. Support other departments on HR and administrative matters when required. Maintain office equipment and office supplies. Maintain all administrative records. Monitor and maintain office supply levels; reorder when appropriate. Maintain Software licensing record and deal with external IT vendor on IT issues. Undertake Ad Hoc tasks and any other duties as assigned by the company from time to time, as deemed necessary to support the business operations.
