Job summary

Village Grocer Holdings Sdn Bhd is seeking an HR Administrator to manage employment records, onboarding, payroll-related documentation and employee relations at our outlets in Malaysia. The role involves processing personnel actions, maintaining attendance and leave records, and ensuring compliance with company guidelines and Head Office policies.

The position requires coordinating with Store and Area Managers, supporting learning and development and promotions, and willingness to work six days

Responsibilities

• Onboarding new joiners in outlet and ensuring proper department assignment.
• Ensure new hire paperwork is completed and submitted to Head Office HR.
• Prepare and maintain attendance, leave records and payroll-related documents.
• Address disciplinary issues and coordinate with Area/Store Manager and Head Office HR.
• Process personnel action forms with proper approvals and records.
• Ensure staff dress code compliance with company guidelines and policies.
• Assist in coordinating learning and development programs and employee relations activities.

Job description

Preparing or updating employment records related to hiring, transferring, promoting, and terminating in outlet Conducting onboarding session for new joiners in Outlet and ensuring they are properly assigned to their departments.

Ensuring new hire paperwork is completed and processed hence submitted to Head Office.

Prepare, calculate, record and time attendance, leave records and other supporting documents for new and existing staffs for payroll purposes or as when necessary according to direction from Management and/or Head Office HR Department and maintain proper records.

Addressing any disciplinary issues, such as attendance, work complaints and harassment allegations to Area Manager, Store Manager and/or Head Office HR Department and maintain proper record.

Processing all personnel action forms and records with proper approval and records.

To ensure every personnel in Outlets dressing up appropriately as per Company’s guideline and adhering to all regulations.

To ensure proper records and collection of monies (hostel deductions, uniform deposit, cashier shortages etc) as when necessary.

Assist to coordinate and involve in any learning and development programmed for self and Outlet.

Assist to coordinate and involve in any engagement programs and other employee relations work.

Willing to work 6 days per week (Mon-Sat)
