Kenneth & Co Pte. Ltd. in Kuala Lumpur is seeking a detail-oriented HR & Admin Executive to support full HR functions and office administration. You will assist with recruitment, onboarding, payroll, benefits, and HR policy compliance while also handling admin duties.
The role involves maintaining confidential employee records, coordinating assets, and supporting HR outsourcing services for clients. A 1-year HR/admin track record is preferred, with strong MS Office and HRIS familiarity.
We are seeking a detail-oriented and proactive HR & Admin Executive to join our team. In this dual role, you will be responsible for supporting the full spectrum of HR functions and office administration. As we also provide HR outsourcing services to our clients, you will support their HR and administrative needs as well.
Assist in the end-to-end recruitment process. Conduct new hire orientation, prepare onboarding materials, and facilitate the setup of new employee workstations and accounts.
Maintain and update physical and digital personnel files (P-files) and HR databases, ensuring strict confidentiality and compliance with local labor laws.
Assist in processing monthly payroll, managing employee attendance, leave records, and overtime claims. Support the administration of employee benefits (insurance, medical claims, etc.).
Act as a point of contact for employee inquiries regarding HR policies, procedures, and benefits. Assist in organizing employee engagement activities and company events.
Coordinate exit interviews, clearance processes, and the deactivation of company assets and accounts for departing employees.
Help implement and communicate HR policies and ensure the company adheres to labor regulations.
Oversee daily office operations, including managing office supplies, equipment maintenance, and liaising with building management and vendors.
Maintain and update the company asset register, including tracking, tagging, and monitoring the issuance, movement, condition, and return of company assets (e.g., laptops, phones, furniture, equipment). Conduct periodic asset audits and reconciliations, and coordinate repairs, maintenance, or disposal as required.
Draft, format, and distribute internal memos, letters, and reports. Maintain a proper filing system for administrative documents.
Handle incoming and outgoing mail, couriers, and general phone/email inquiries.
Undertake other ad-hoc HR and administrative duties and projects as assigned by management from time to time.
Bachelor's degree in Human Resources Management or a related field.
Minimum of 1 year of proven experience in a combined HR and administrative role.
Proficiency in Microsoft Office Suite (especially Excel and Word) and familiarity with HRIS (Human Resources Information Systems).
High level of integrity and discretion when handling confidential information.
Strong verbal and written communication skills to interact with all tiers of the organization.
Proactive problem-solving capabilities to resolve workplace issues quickly.
