The HR & General Affairs Executive will support the full spectrum of HR operations, including employee lifecycle administration, recruitment coordination, and HR reporting. In addition, the incumbent will assist in General Affairs (GA) functions, such as office administration, vendor coordination, and workplace safety, as well as contribute to Sustainability & CSR initiatives.
Key Responsibilities
Key Areas
1. Human Resource Operations:
- Manage daily HR operations, including employee data management, contract administration, onboarding/offboarding, and confirmation processes.
- Prepare HR letters, employment documents, and policy communications.
- Collate and verify claims & payroll data (attendance, overtime, allowances) in-house and liaise with payroll vendors when necessary.
- Maintain employee records and HRIS accuracy in accordance with audit and compliance standards.
- Support HR reporting and data consolidation for management and regional HR submission.
- Ensure compliance in local employment regulations and company policies.
2. Talent Management – Recruitment, Engagement & Development:
- Managing employee’s life cycle.
- Coordinate recruitment processes, including job postings, candidate scheduling, and interview logistics.
- Support onboarding programs to ensure a positive new hire experience.
- Assist in organizing employee engagement and welfare activities (e.g. events, appreciation programs), employee Value Proposition and Employee Engagement Survey.
- Support internal communication materials, HR newsletters, or digital content for employee engagement.
- Assist in Learning & Development - TNA, organizing training programs, tracking training participation, participants’ feedback and maintaining learning records.
- Manage office administration, including supplies, facilities, and service vendor coordination.
- Liaise with building management, office support, and service providers for maintenance matters.
- Support workplace safety, health, and security processes in compliance with company and local standards.
- Assist in organizing company functions, annual events, and administrative logistics.
4. Sustainability & CSR Support:
- Assist in planning and executing CSR and sustainability programs in line with regional and HQ objectives.
- Coordinate with internal teams and external partners (NGOs, vendors, community organizations) for CSR activities.
- Track, consolidate, and report sustainability data (e.g., waste reduction, energy consumption, community engagement).
- Support sustainability awareness campaigns and internal communication efforts.
REQUIREMENTS
Education & Experience:
- Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field.
- Min 3-4 years of HR experience, preferably in a multinational organization environment.
- Solid understanding of local HR operations and employment legislation.
- Experience in General Affairs or Sustainability & CSR coordination is advantageous.
Technical Skills:
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Familiar with HR systems / HRIS.
- Basic data handling, analysis and reporting capabilities.
