The Human Resource Executive will oversee daily HR administrative operations, ensuring compliance, confidentiality, and accuracy. Key responsibilities include managing end-to-end payroll inputs, maintaining employee records, tracking attendance and leave, supporting talent acquisition, drafting disciplinary documentation, and assisting with employee training programs.
Payroll Management Prepare accurate monthly payroll data in accordance with company timelines.
Review and verify attendance logs, unpaid leave, overtime (OT), allowances, deductions, and other payroll-related parameters.
Maintain and update systematic employee personal files and master HR databases.
Draft official HR correspondence, including offer letters, confirmation letters, memos, and notices.
Serve as the primary point of contact for employee inquiries regarding HR policies, leave entitlements, benefits, and workplace procedures.
Monitor and maintain daily employee attendance records across all departments/sites.
Track and reconcile Annual Leave (AL), Emergency Leave (EL), Medical Leave (MC), and other leave categories.
Liaise with site administrators and department heads to resolve attendance discrepancies.
Compile and finalize monthly attendance summary reports for payroll processing.
Coordinate talent acquisition activities, including posting job openings, screening applications, and scheduling interviews.
Prepare onboarding documentation, employment kits, and conduct initial orientation for new hires.
Draft formal disciplinary notices, including Warning Letters, Show Cause Letters, and Termination Letters under management guidance.
Log and preserve confidential records of disciplinary actions, grievances, and performance reviews.
Support management in addressing employee grievances while ensuring HR policies are executed consistently and discreetly.
Coordinate logistics, registrations, and schedules for internal and external employee training programs.
Maintain comprehensive training attendance records and history.
Prepare supporting documentation for HRD Corp (HRDF) claims or related training grant submissions.
Perform additional HR and administrative tasks as assigned by the HR Manager or Management.
Minimum Diploma, Professional Certificate, or equivalent qualification in Human Resource Management, Business Administration, or a related field.
Minimum 2-3 years experience, proven hands-on experience in end-to-end payroll processing and generalist HR functions.
Strong mathematical aptitude with high attention to detail and error-spotting capabilities.
Excellent time management skills with the ability to prioritize workload and multitask efficiently.
