We are seeking an Assistant Company Secretary to join INTERESOURCES SECRETARIAL SERVICES SDN. BHD. in Penang Island, Penang. This is a full-time position offering a valuable opportunity to develop your career in company secretarial and accounting administration. As Assistant Company Secretary, you will provide essential support to the company secretarial function, ensuring compliance with regulatory requirements and maintaining accurate corporate records. This role is critical to our operations, as you will help ensure that our clients and the organization maintain the highest standards of corporate governance.
Assist in preparing and maintaining statutory records, including board minutes, shareholder meeting documentation and corporate registers
Support the coordination and scheduling of board meetings, annual general meetings and other corporate events
Prepare and file statutory returns and compliance documents with the relevant regulatory authorities
Maintain comprehensive company secretarial documentation and ensure all records are organized and accessible
Provide administrative support to the Company Secretary and senior management team
Monitor and track regulatory deadlines to ensure timely submission of required filings and documents
Assist in managing company policies, procedures and corporate governance frameworks
Respond to routine enquiries from stakeholders regarding company secretarial matters
Support the preparation of board papers and corporate communications
Maintain awareness of changes in company law, regulations and best practices in corporate governance
Minimum of 1 year of relevant working experience in corporate secretarial practice
CGI (ICSA) qualification, CGQP (ICSA) finalist, currently pursuing CGQP (ICSA)
Knowledge of Malaysian company law, including the Companies Act 2016, and familiarity with regulatory compliance requirements
Proficiency in using Microsoft Office applications, particularly Excel and Word
Liaise with clients, auditors, lawyers, advisers and relevant authorities in respect of any corporate matters or actions undertaken
Excellent written and verbal communication skills in Mandarin, English and Malay
Attention to detail and accuracy in record-keeping and document preparation
Highly organized and detail-oriented, with the proven ability to work independently, manage pressure, and meet tight deadlines
Experience in a company secretarial, accounting or legal environment is preferred
Knowledge of secretarial and corporate governance services relating to PLC’s ensuring compliance with the Companies Act 2016, Bursa Malaysia Listing Requirements, Securities Commission requirements will be an advantage
