Rockingham Corporate Solutions Sdn. Bhd. is seeking a diligent Corporate Secretarial Assistant to assist in preparing and processing corporate secretarial documents, including resolutions, minutes, statutory forms, and related records.
You will help submit documents to SSM and other authorities, and support company incorporation and changes. The role requires familiarity with the Companies Act 2016 in Malaysia, strong English communication (Mandarin a bonus), and proficiency with Microsoft
Assist in preparing and processing corporate secretarial documents, including resolutions, minutes, statutory forms, and related documents.
Assist in submission of statutory documents to the Companies Commission of Malaysia (SSM) and other relevant authorities.
Support company incorporation, changes in company details, and other corporate secretarial transactions.
Maintain and update statutory records, registers, minute books, and company documents.
Regulatory Compliance & Documentation:
Assist in monitoring statutory deadlines and ensuring timely completion of required filings.
Support the preparation of annual returns, statutory documents, and compliance-related matters.
Ensure documents are properly prepared, organized, and maintained in accordance with regulatory requirements.
Client and Internal Coordination:
Liaise with clients and relevant parties for collection of required information and documents.
Assist in attending to client requests and follow up on outstanding documents.
Coordinate with external stakeholders, including auditors, tax agents, and regulatory authorities, to facilitate client needs.
Provide administrative support to ensure smooth delivery of corporate secretarial services.
Administrative Duties:
Manage document filing and record-keeping to ensure accuracy and confidentiality.
Handle ad-hoc assignments and administrative duties as required.
Support the Company Secretary and senior team members in day-to-day company secretarial functions.
Perform other ad hoc duties and assignments as assigned by the Management from time to time.
About you
A Diploma/Degree in Business Administration, Corporate Governance, or a related field. Preferably an Associate Member of MAICSA or other relevant professional qualifications. Candidates currently pursuing the MAICSA qualification are also encouraged to apply.
Fresh graduates are encouraged to apply; candidates with internship or relevant corporate secretarial experience will be an added advantage.
Familiarity with the Companies Act 2016 and regulatory requirements in Malaysia.
Strong command of written and spoken English. Ability to communicate effectively in Mandarin will be an added advantage.
Good written and verbal communication skills.
