Our client 'Tinker Studio' is seeking an Admin cum PA to join their team!
This is an exciting opportunity to support the Managing Director and contribute to the smooth running of a creative studio through executive assistance, office administration and project coordination. The role is based in Kuala Lumpur, with one work-from-home day each week.
What you'll be doing?
- Executive support: Manage schedules, appointments, travel arrangements, correspondence and communications for the Managing Director and executive team.
- Document preparation: Draft, format and proofread documents, reports, presentations and proposals to support polished business communications.
- Records management: Maintain filing systems, databases and records with accuracy, confidentiality and strong attention to detail.
- Office operations: Oversee office supplies, pantry stock and company merchandise, including timely procurement and workplace upkeep.
- Meeting coordination: Arrange logistics for meetings, events, workshops and company activities to help each initiative run smoothly.
- HR administration: Support onboarding, employee engagement activities and attendance record maintenance.
- Project support: Assist with the planning and delivery of campaigns, events and client projects, including research, data gathering and reporting.
- Team collaboration: Liaise with creative, marketing and client servicing teams, while coordinating with clients, suppliers, vendors, freelancers and partners.
- Timeline tracking: Monitor project timelines and provide timely reminders to help keep deadlines on track.
- Personal assistance: Coordinate personal appointments, errands, travel, accommodation and correspondence for the Managing Director when required.
- Professional discretion: Handle sensitive information responsibly while supporting company SOPs, workplace standards and back-office operations.
Who are they looking for?
- Relevant experience: Candidates with at least 1 year of experience in an administrative or personal assistant role will be considered; experience in an agency or corporate environment is an advantage.
- Education: Minimum SPM qualification or above.
- MS Office capability: Proficiency in Word, Excel, PowerPoint and Outlook to manage day-to-day administration and documentation.
- Language skills: Proficiency in English and Malay is required for communication with clients, suppliers, stakeholders and colleagues; Mandarin is preferred for broader workplace communication.
- Organisation and multitasking: Strong organisational, multitasking and time management skills to manage varied priorities effectively.
- Communication: Clear written and verbal communication skills with the ability to interact professionally with people at all levels.
- Working style: A proactive, detail-oriented approach with the ability to work independently and with minimal supervision.
- Confidentiality: Sound judgement and discretion when handling sensitive information on behalf of the Managing Director and the studio.
