Job summary

Aman Venice in Palazzo Papadopoli seeks an Events Trainee to assist the Events Team in planning, organization, and coordination of weddings, corporate meetings and special occasions, ensuring seamless execution and exceptional guest experiences.

Responsibilities

• Support the planning and execution of events, including weddings, corporate meetings, social gatherings, VIP functions and special occasions.
• Assist with management of event enquiries, preparation of proposals and timely follow-up with clients, wedding planners, agencies and event partners.
• Prepare and maintain accurate event documentation and records, including contracts, BEOs, rooming lists, function sheets, client information, deposits and payment schedules.
• Assist with site inspections and client meetings, supporting the Events Manager in gathering event requirements and ensuring all relevant details are recorded and followed up.
• Ensure all event details, timelines, set-ups, AV requirements, menus and dietary requests are documented and communicated to relevant departments through briefings and function sheets.
• Collaborate with Food & Beverage, Culinary, Front Office, Housekeeping, Engineering and other departments to support seamless event preparation and execution.
• Support coordination of external suppliers, access requirements, deliveries, set-up and dismantling with the Events Manager and departments.
• Assist with on-site event operations, monitoring timelines and responding to client, guest and team requests or changes.
• Support post-event follow-up, including final documentation, outstanding client or supplier matters and guest feedback, adhering to company standards and safety regulations.
