Job summary

Netfolks Consulting in Dehradun, Uttarakhand is seeking a diligent Order Processing & Accounts Support professional to manage order processing, payment tracking, debit/credit notes, and reconciliation. You will coordinate with Sales, Production, and Accounts to ensure accurate handling of inquiries, quotations, and dispatch details.

The role involves maintaining customer ledgers, updating ERP with receipts, sharing aging reports, and preparing regular MIS.

Responsibilities

• Process orders from receipt to dispatch.
• Receive enquiries and prepare quotations.
• Generate Sales Orders in ERP.
• Coordinate with Production for scheduling.
• Track order status from approval to dispatch.
• Inform clients about dispatch details.
• Track payments and support collection.
• Maintain customer outstanding report and aging.
• Share ageing reports with Sales Head and follow up on reminders.
• Update payment receipts in ERP and confirm with Accounts.
• Handle debit/credit notes and coordinate for notes.
• Maintain documentation for audit compliance.
• Coordinate with Accounts for monthly customer ledger reconciliation.
• Prepare Daily/Weekly/Monthly Sales MIS and maintain filing of POs, invoices, and CRM data.

Key Responsibilities

• Order Processing
• Receive enquiries and prepare quotations.
• Generate Sales Orders in ERP.
• Coordinate with Production for scheduling.
• Track order status from approval to dispatch.

• Payment Tracking & Collection Support
• Maintain customer outstanding report.

• Maintain record of debit and credit notes.

• Share debit/credit note copies with client.
• Track adjustment in customer ledger.
• Maintain proper documentation for audit compliance.
• Account Reconciliation
• Coordinate with Accounts department for monthly customer ledger reconciliation.
• Share statement of accounts with client.
• Resolve mismatch issues (short payment, deduction, tax difference).
• Maintain reconciliation records for audit purpose.
• Reporting & Documentation
• Prepare Daily / Weekly / Monthly Sales MIS.
• Maintain proper filing of POs, quotations, invoices.
• Maintain CRM data and customer database.
