Job summary

Perfetti Van Melle India is seeking a proactive Procurement & Stores Specialist to manage spares inventory, PR/PO cycles, and cost optimization for uninterrupted plant operations.

You will own PR creation within 2 days, drive PR-to-PO conversions, track POs, and coordinate with CFT to resolve payment ambiguities, while ensuring SAP accuracy and rigorous documentation.

Qualifications

• Experience in procurement and stores management.
• Strong knowledge of PR/PO cycles and vendor coordination.
• Familiarity with SAP transactions: PR creation, GRN posting, stock updates.

Responsibilities

• Ensure timely availability of engineering spares, effective inventory control, and cost optimization while supporting uninterrupted plant operations.
• Create Purchase Requisitions (PR) within 2 days from receipt of approved mail/request.
• Ensure smooth conversion from PR to PO with continuous follow-up with procurement.
• Coordinate with CFT (Procurement & Finance) to resolve any ambiguity related to payment etc
• Track all POs from release until material receipt in stores, coordinate with vendors, purchase team, and internal stakeholders to avoid delays.
• Share weekly PO status reports highlighting: Pending PRs, Open POs, Delayed supplies.
• Maintain ROL/ROQ compliance and ensure critical spares availability; weekly/monthly inventory reports; identify slow-moving spares and write-off proposals.
• Monitor M&R budget consumption; track spend vs budget and report deviations; share monthly budget tracking with corrective actions.
• Ensure accurate SAP transactions: PR creation, GRN posting, stock updates; maintain audit-ready documentation.
• Identify high consumption spares and analyze usage trends; initiate cost-saving projects (alternate sourcing, standardization, repair vs replacement); track savings monthly.
• Implement and sustain 5S in engineering stores; proper binning, labeling; ensure easy traceability and disposal of E-waste and waste oil.

The position is accountable for:

Procurement & PR Management

• Create Purchase Requisitions (PR) within 2 days from receipt of approved mail/request.
• Ensure smooth conversion from PR to PO with continuous follow-up with procurement
• Coordinate with CFT (Procurement & Finance) to resolve any ambiguity related to payment etc

Purchase order tracking

• Track all POs from release until material receipt in stores, coordinate with vendors, purchase team, and internal stakeholders to avoid delays.
• Share weekly PO status reports highlighting:

• 1. Pending PRs
• 2. Open POs
• 3. Delayed supplies

Inventory Control (ROL/ROQ Management)

• - Maintain ROL (Reorder Level) / ROQ (Reorder Quantity) compliance
• - Ensure critical spares availability for key lines:
• - Weekly availability status for critical lines
• - Monthly inventory report for other lines
• - Slow moving spares to be identified and write off proposal for Inventory variance reduction.

Budget Monitoring & Control

• - Monitor M&R (Maintenance & Repair) budget consumption.
• - Track monthly spend vs budget and highlight deviations.
• - Share monthly budget tracking report with corrective actions

SAP & Documentation

• Ensure accurate and timely transactions in SAP:
• PR creation
• GRN posting
• Stock updates
• Maintain proper documentation for audit compliance.

Cost Optimization

• Identify high consumption spares and analyse usage trends.
• Initiate cost-saving projects through:
• Alternate sourcing
• Standardization
• Repair vs replacement decisions
• Track and report savings monthly.

Stores Management & 5S

• Implement and sustain 5S practices in engineering stores:
• Proper binning, labelling, and identification
• Clean and organized storage system
• Ensure easy traceability and quick retrieval of spares
• E waste and waste oil management.
