Job summary

Responsibilities

• Maintain inventory of spares, consumables, tools, and maintenance materials.
• Ensure receipt, inspection, storage, issue, and documentation of materials.
• Maintain stock registers and ERP/Tally records with accurate entries.
• Monitor stock levels and reorder points to prevent stock-outs.
• Generate MIS reports on inventory, purchases, consumption and cost savings.
• Raise purchase requisitions, obtain quotations, issue purchase orders, and follow up with suppliers.

We are looking for a dedicated and organized Stores & Purchase Incharge to manage the Engineering & Maintenance Stores and oversee procurement activities. The role involves ensuring timely availability of spare parts, consumables, tools, and maintenance materials while maintaining optimum inventory levels and cost‑effective purchasing.

Responsibilities

• Stores Management:
  • Maintain complete inventory of engineering and maintenance spares, consumables, tools, bearings, electrical and mechanical items.
  • Ensure proper receipt, inspection, storage, issue, and documentation of all materials.
  • Maintain stock registers and ERP/Tally records with accurate inward and outward entries.
  • Monitor minimum, maximum, and reorder stock levels to avoid stock‑outs.
  • Conduct periodic physical stock verification and reconcile inventory discrepancies.
  • Ensure proper identification, preservation, and housekeeping of all store materials.
• Purchase & Procurement:
  • Raise purchase requisitions based on inventory requirements.
  • Identify and develop reliable vendors for engineering spares and maintenance materials.
  • Obtain quotations, compare prices, negotiate commercial terms, and prepare comparative statements.
  • Issue purchase orders and follow up with suppliers for timely deliveries.
  • Coordinate with engineering, maintenance, accounts, and stores for smooth procurement and payment processes.
  • Evaluate vendor performance with respect to quality, delivery, and cost.
• Documentation & Compliance:
  • Maintain purchase orders, GRNs, invoices, vendor records, and other procurement documents.
  • Generate MIS reports on inventory, purchases, consumption, pending orders, and cost savings.
  • Ensure compliance with company procedures and audit requirements.
  • Support annual inventory audits and continuous process improvements.
