Job summary

Aarvi Encon seeks a Billing / Project Coordinator / Contract Manager for its Mumbai office. The role requires 8+ years in contract/billing/project coordination with infra/government contractors and on-site exposure.

Mandatory BE/B.Tech in Civil Engineering; MBA/PGDM or Construction Management is advantageous. Location is at Head Office, Chembur, Mumbai, with on-site responsibilities.

Qualifications

• B.E./B.Tech in Civil Engineering is mandatory.
• MBA / PGDM or Post-Graduate in Construction Management is an added advantage.
• Minimum 8 years of experience in Contract / Billing / Project coordination with infrastructure/government contractors and on-site exposure.

Responsibilities

• Contract Management: interpret contracts (EPC, item-rate, HAM, DBFOT) for government clients; maintain a repository; identify deviations and coordinate amendments.
• Billing & Documentation: prepare and verify RA/final bills; ensure measurements and supporting docs are accurate; coordinate with site teams and client engineers.
• Project: act as central coordination point between sites, HO, consultants and clients; monitor schedules and deliverables; obtain drawings approvals and track actions.
• Claims & Variations: prepare documentation for variations/time extensions; support dispute resolution and price escalation submissions.
• Compliance & Reporting: submit notices within timelines; maintain registers; prepare MIS; track GST, TDS, PF/ESIC and royalty matters in billing.

Job Title: Billing / Project Coordinator / Contract Manager

Qualification: B.E./B.Tech in Civil Engineering (mandatory)

Experience: Minimum 8 years of experience in Contract / Billing / Project coordination roles with Infrastructure / Government Contractors and having experience on site

Location: Head Office - Chembur, Mumbai

Key Responsibilities:

1. Contract Management

• Review and interpret contract clauses (EPC, Item-rate, HAM, DBFOT) from Government clients like NHAI, MoRTH, PWD, etc.
• Maintain a comprehensive contract repository with key obligations, deliverables, and timelines.
• Identify deviations, risks or ambiguities in contracts and coordinate clarifications or amendments with legal / management teams.
• Track compliance with contractual milestones, KPIs and LD clauses.

2. Billing & Documentation

• Prepare and verify Running Account (RA) bills, final bills and reconciliation statements as per work progress.
• Ensure all measurements, abstracts, and supporting documents (MBs, DPRs, etc.) are accurate.
• Coordinate with site teams for billing inputs, material reconciliation, and joint measurement records.
• Liaise with client engineers for timely verification and certification of bills.
• Ensure billing is aligned with BOQ items, variation orders, and contract rates.

3. Project

• Act as a central coordination point between project sites, HO, consultants and client representatives.
• Monitor project schedules, cost performance, and key deliverables.
• Follow up on approvals for drawings, GFCs, change requests, and site instructions.
• Organize review meetings, prepare MOMs, and track progress/action items.

4. Claims & Variations

• Prepare documentation for claims related to variations, time extensions, idle charges, escalation, etc.
• Support dispute resolution, arbitration, or negotiations by compiling relevant records.
• Assist in the submission of price escalation claims as per contract clauses (e.g., MoRTH escalation formulas).

5. Compliance & Reporting

• Ensure all contractual notices and correspondence are submitted within timelines.
• Maintain registers for contract amendments, VO approvals, payments, and deductions.
• Prepare MIS reports related to billing status, contract issues, and project financials.
• Track statutory compliances like GST, TDS, PF/ESIC and royalty-related matters in billing.
