1. Role Purpose
The Commercial Support Executive provides effective administrative, reporting, and coordination support to the commercial team. The role enables smooth execution of sales operations by maintaining accurate commercial data, supporting order and customer processes, coordinating with internal stakeholders, and ensuring timely completion of assigned commercial activities.
2. Key Responsibilities
Commercial Administration
- Organize meetings, reviews, travel, events, and administrative requirements for the commercial team.
- – Prepare commercial correspondence, presentations, meeting notes, and action trackers.
- – Support preparation and circulation of contracts, agreements, and other commercial documents.
- – Maintain and update customer, distributor, sales, pricing, and scheme-related records.
Sales and Business Support
- – Prepare daily, weekly, and monthly sales reports, forecasts, order trackers, and performance dashboards.
- – Support sales planning, target tracking, demand consolidation, and business-review preparation.
- – Track sales orders, stock availability, dispatches, deliveries, and customer queries in coordination with relevant teams.
Cross-functional Coordination
- – Coordinate with Sales, Marketing, Supply Chain, Customer Service, Finance, and Supply Planning for timely resolution of commercial requirements.
- – Follow up on customer/distributor pending payments, credit status, debit notes, claims, and invoice-related matters.
- – Ensure required approvals and documentation are completed in accordance with company processes.
Data, Process and Compliance
- – Ensure accuracy, completeness, confidentiality, and timely availability of commercial data.
- – Maintain trackers for key commercial activities, pending actions, and process status.
- – Support purchase requisitions, vendor coordination, invoice processing, and commercial expense tracking.
- – Identify opportunities to simplify reporting, improve documentation, and strengthen operational discipline.
3. Qualifications and Experience
- – Bachelor’s degree Or masters in Commerce, Business Administration, Agriculture, Sales, or a related field.
- – Experience: [2–5] years in commercial administration, sales coordination, customer service, sales operations, or business support.
- – Experience in agriculture, seeds, FMCG, or a distributor-led business is preferred.
4. Required Skills and Competencies
- – Strong proficiency in Microsoft Excel, PowerPoint, and Word.
- – Familiarity with ERP, CRM, and sales reporting systems.
- – Good data analysis, reporting, and documentation skills.
- – Strong planning, organisation, and follow-up ability.
- – Clear written and verbal communication.
- – Ability to coordinate effectively across multiple functions.
- – Attention to detail, accuracy, confidentiality, and process discipline.
- – Ability to manage multiple priorities and work within deadlines.
