Job summary

Vandewiele is seeking an Export/Import Coordinator to manage end-to-end international trade operations from documentation through to delivery. You will liaise with internal teams and external partners to ensure timely shipments, accuracy of documents, and regulatory compliance across multiple countries.

The role requires strong attention to detail, negotiation skills, and proficiency in Excel. You will work closely with Finance, Logistics, Production, and Sales to optimize costs and maintain

Responsibilities

• Coordinate end-to-end export/import operations, ensuring timely execution of shipments.
• Prepare and verify shipping documents: Commercial Invoices, Packing Lists, Certificates of Origin, Bill of Lading, etc.
• Handle customs clearance processes, coordinating with CHA, freight forwarders, and customs officials.
• Track shipments and resolve delays, damages, or documentation errors.
• Ensure compliance with international trade laws and customs regulations for multiple countries.
• Maintain regulatory records and documentation (Import Licenses, Export Permits, etc.).
• Negotiate freight rates, terms, and contracts with logistics partners; monitor service performance.
• Track logistics costs including freight, duties, IGST, insurance, and levies.
• Coordinate with finance on LC, TT, and banking documentation.
• Liaise with Production, Procurement, Sales, and Warehousing to align export-import plans with delivery schedules.
• Manage customer/supplier communications related to shipping documents and timelines.
• Maintain readiness for audits and inspections.
• Identify risks and propose practical mitigation measures.
• Support sales/marketing with logistics inputs and compliance documentation.

To coordinate and manage the end-to-end export and import operations, ensuring timely documentation, customs compliance, and efficient logistics. The role involves liaising with internal departments, logistics providers, customs brokers, and regulatory bodies to support seamless international trade operations while maintaining cost efficiency and legal compliance.

Role & responsibilities :

• Manage end-to-end export and import operations, ensuring timely and accurate execution of shipments.


• Prepare and verify shipping documents: Commercial Invoices, Packing Lists, Certificates of Origin, Bill of Lading, etc.


• Handle customs clearance processes, coordinating with CHA, freight forwarders, and customs officials.


• Track shipments and proactively resolve issues related to delays, damages, or documentation errors.


• Ensure compliance with international trade laws, customs regulations, and documentation standards for various countries.


• Maintain regulatory records and documentation: Import Licenses, Export Permits, Central Excise clearances, and Duty Drawback forms.


• Support central excise compliance for bonded warehouse operations, exports under LUT, or with duty payment.


• Negotiate freight rates, terms, and contracts with logistics partners and monitor service performance.


• Track and control logistics costs including freight, customs duty, IGST, insurance, and local levies.


• Coordinate with finance team on Letter of Credit (LC), Telegraphic Transfer (TT), and banking documentation.


• Liaise with internal teams: Production, Procurement, Sales, and Warehousing to align export-import plans with delivery schedules.


• Manage customer and supplier communication related to shipping documents, delivery timelines, and compliance matters.


• Maintain accurate records and ensure readiness for internal/external audits and statutory inspections.


• Identify logistics risks, regulatory challenges, and propose practical solutions to mitigate disruptions.


• Ensure appropriate insurance coverage and manage claims for lost or damaged international shipments.


• Support sales and marketing team with logistics inputs, delivery timelines, and compliance documentation.
