Factorial is seeking an organised and proactive HR Assistant to join our People team. The role covers HR administration across Ireland, the UK, and Spain, with ad hoc support to the Germany operation when required.

You will work closely with the HR Generalist and Head of HR to keep day-to-day HR functions running smoothly. You will manage contracts, onboarding, payroll support, and maintain HRIS records across multiple jurisdictions, ensuring compliance and data accuracy in a fast-paced

Qualifications

  • 1-2 years of HR administration or coordination experience.
  • Strong organisational skills with excellent attention to detail.
  • Proficient with HRIS systems and Microsoft Office, particularly Excel.
  • Discreet, professional, and able to handle sensitive information.

Responsibilities

  • Manage end-to-end employee lifecycle administration including contracts and onboarding across Ireland, UK, and Spain.
  • Maintain and update HRIS ensuring accurate records across all jurisdictions.
  • Coordinate onboarding for new starters to ensure a consistent experience.
  • Support payroll preparation by collating HR data for each jurisdiction.
  • Administer and coordinate contract amendments, salary changes, and role updates.
  • Coordinate recruitment activity across Ireland, UK, and Spain including job postings and interviews.
  • Assist in compliance reporting and HR data preparation for the Head of HR.

Job description

We are looking for an organised and proactive HR Assistant to join our People team in a fast-paced, multi-country renewable energy business. This is a varied and busy role that will take ownership of HR administration across Ireland, the UK, and Spain, while providing ad hoc support to our German operation when required. You will work closely with the HR Generalist and Head of HR, playing a key role in keeping the day-to-day HR function running smoothly and efficiently.

You’ll play an important role in:
HR Administration

Manage end-to-end employee lifecycle administration including contracts, offer letters, probation tracking, and leaver processes across Ireland, UK, and Spain

Maintain and update the HR Information System (HRIS) ensuring employee records are accurate and up to date across all jurisdiction

Coordinate and administer onboarding processes for new starters, ensuring a consistent and positive experience across all locations

Process and track annual leave, absences, and other employee data, flagging trends or issues to the HR Manager

Support payroll preparation by ensuring accurate and timely collation of HR data for each jurisdiction

Administer and coordinate employee changes including contract amendments, salary changes, and role updates

Recruitment Support

Coordinate recruitment activity across Ireland, UK, and Spain including job postings, interview scheduling, and candidate communications

Manage relationships with recruitment agencies and job boards as directed

Prepare employment documentation and manage pre-employment checks including references and right-to-work verification

Compliance & Reporting

Support HR compliance requirements across multiple jurisdictions, ensuring filing and record-keeping meets local legislative requirements

Assist in preparing HR reports and data for the Head of HR and wider business as required

General HR Support

Act as a first point of contact for routine HR queries from employees and managers, escalating where appropriate

Provide administrative support to HR projects and initiatives as they arise

Offer ad hoc HR admin support to the Germany HR Generalist when required

To succeed in the role:

1-2 years of HR administration or coordination experience, ideally within a multi-site or multi country environment

Strong organisational skills with excellent attention to detail

Comfortable working across multiple jurisdictions and adapting to different local requirements

Proficient with HRIS systems and Microsoft Office, particularly Excel

Discreet, professional, and able to handle sensitive information with confidence

A self-starter who can manage their own workload and prioritise effectively in a busy environment

Experience in a professional services, energy, or similarly regulated industry would be an advantage but is not essential
