Hours: Monday–Friday, 37 hours per week
Contract: Permanent, Full-Time
Our client iscurrently recruiting for an experienced Executive Assistant to join a well-established, purpose-led organisation based in Dublin 9. This is an excellent opportunity for an experienced EA/PA who enjoys working closely with senior leadership and is comfortable operating in a varied, confidential and highly organised environment.
The Role
Reporting directly to the CEO, you will provide high-level executive and operational support, while also assisting with Board and senior leadership activities.
Key responsibilities will include:
- Managing the CEO’s complex diary, meetings, correspondence and appointments.
- Coordinating domestic and international travel, itineraries and expenses.
- Preparing reports, presentations, briefing documents and correspondence.
- Supporting Board and committee meetings, including agendas, meeting papers, packs and action tracking.
- Coordinating meetings with senior stakeholders, Board members and external partners.
- Taking minutes, maintaining action logs and ensuring appropriate follow-up.
- Supporting the organisation with events, away days, meetings and special projects.
- Coordinating venues, suppliers, logistics and other event requirements.
- Assisting with budgets, expenses, purchase orders and general financial administration.
- Maintaining accurate and confidential records and documentation.
- Supporting internal communications, projects and process improvements.
- Acting as a key point of contact for senior stakeholders and external contacts.
- Providing general support across the Executive Office and wider organisation as required.
- Supporting the coordination of office and facilities requirements, including reception, maintenance and other service providers.
About You
We are looking for someone who is:
- An experienced Executive Assistant, Personal Assistant or Senior Administrator.
- Comfortable supporting CEOs, Directors or senior leadership teams.
- Highly organised with excellent attention to detail.
- Confident managing multiple priorities and changing demands.
- Experienced in coordinating meetings, minutes, actions and senior-level documentation.
- Professional, discreet and comfortable handling confidential information.
- A strong communicator with excellent interpersonal and stakeholder management skills.
- Proactive and able to work independently, using sound judgement and initiative.
- Highly competent across Microsoft Office and modern digital systems.
- Ideally experienced in Board, committee, governance, events or project coordination.
