Responsibilities

Dublin | Hybrid – 3 Days in Office | Permanent | £50-55,000

We’re partnering with an established international Private Equity firm to appoint an Executive Assistant & Office Manager for its growing Dublin office.

This is a varied, hands-on role combining EA support with responsibility for the day-to-day running of the office. Initially supporting a team of four, you’ll manage diaries and meetings alongside ensuring the office runs seamlessly – from welcoming guests and coordinating suppliers to resolving issues, organising events and supporting Board meetings.

The Dublin office is growing, and this role will grow with it. They’re looking for someone with a great attitude who is proactive, committed and genuinely enjoys being the person people can rely on to make things happen.

You’ll work closely with colleagues in Dublin and the established London office, becoming an integral part of a collaborative international team.

The Role
  • Providing EA and administrative support to four members of the Dublin team.
  • Managing diaries, meetings, expenses and day-to-day administration.
  • Taking ownership of the smooth running of the office, ensuring everything is organised, stocked and working as it should.
  • Managing office supplies, orders, suppliers and day-to-day operational issues.
  • Meeting and greeting clients, colleagues and visitors, creating a polished and welcoming office environment.
  • Coordinating meeting rooms and ensuring internal and external meetings run seamlessly.
  • Coordinating Board meetings for two investment funds across approximately 10–12 portfolio companies.
  • Organising corporate events, client dinners, networking events and hospitality across Dublin.
  • Providing hands-on event support and confidently dealing with last-minute changes.
  • Working closely with the London support team and providing additional support and cover when required.
  • Taking on wider projects and responsibilities as the Dublin office continues to grow.
About You
  • At least two years’ experience within an EA, Team Assistant, Office Manager or similar support role in a professional environment.
  • Positive, proactive and committed, with a genuine willingness to get involved wherever needed.
  • Highly organised, with strong diary, meeting and administrative coordination skills.
  • Someone who naturally takes ownership, spots what needs doing and gets on with it.
  • Confident and personable, with the ability to build strong relationships with senior colleagues, clients and visitors.
  • Comfortable being the go-to person for the office, whether coordinating an important Board meeting or resolving an unexpected day-to-day issue.
  • Calm, practical and solutions-focused when priorities change.
  • Strong attention to detail and complete discretion.
  • A genuine team player who enjoys working within a smaller office and is excited by the opportunity to grow with the business.
