Job summary

Redstart, Dublin-based employer of a London-listed company, seeks an experienced Executive Assistant for the Executive Chairman. The role focuses on diary control, busy schedules, and multi-inbox email management in a fast-paced setting.

Responsibilities include coordinating Zoom/Teams meetings, drafting emails, and arranging travel. The position is full-time and on-site in Dublin 2, with a strong emphasis on discretion and professional communication.

Qualifications

  • 3+ years in a similar executive assistant or high-level support role.
  • Excellent writing and communication skills with discretion.
  • Strong diary/meeting management and attention to detail.

Responsibilities

  • High-volume email management across three inboxes.
  • Arrange Zoom and Teams meetings and manage logistics.
  • Draft and proof emails; use voice-to-text tools like ChatGPT.
  • Draft and proofread written communications.
  • Schedule flights, accommodation and car hire.
  • Manage contacts in Outlook People and update vCards.
  • Facilitate internal and external client meetings.
  • Potential onboarding/offboarding and other HR/admin tasks.

Job description

We are seeking an experienced Executive Assistant to support the Executive Chairman of a Dublin-headquartered, London-listed public company.

Key tasks include managing a busy diary, staying ahead of a heavy meeting schedule, and handling high-volume email across multiple inboxes.

  • Discretionary performance bonus of up to 10% of salary
  • Health insurance
  • 26 days annual leave (including a company day at Good Friday), plus public holidays
  • Permanent, full-time. Start date early to mid-September preferred
  • 9:00am - 6:00pm, Monday to Friday (10:00am - 7:00pm also available if preferred)
  • Fully on-site in Dublin 2. No hybrid option
RESPONSIBILITIES
  • High-volume email management across three busy inboxes
  • Arranging Zoom and Teams meetings, and managing the logistics around them
  • Drafting email responses, including the use of voice-to-text tools such as ChatGPT
  • Drafting and proof-reading written communications
  • Scheduling flights, accommodation and car hire
  • Managing a large contacts database via Outlook People, and regularly updating vCards
  • Facilitating internal and external client meetings

Depending on staffing levels, the role may also cover employee onboarding and offboarding and other HR administration, general office administration, AML documentation processing, expenses, receipts and credit reconciliations, and meeting and greeting clients.

SKILLS REQUIRED
  • A minimum of 3 years' proven experience in a similar role
  • Excellent writing and communication skills
  • Strong attention to detail
  • The ability to handle sensitive information with discretion and maintain confidentiality
  • Proficient in MS Word, Excel, PowerPoint and Outlook
  • Proactive, and keeps ahead of arrangements and requirements
  • Good use of initiative and follow-through
TECHNOLOGY AND AI

This is a priority for the business.

  • Comfortable using modern productivity tools, including AI-enabled tools such as ChatGPT, Claude, Microsoft Copilot or similar
  • Confident using AI to assist with day-to-day tasks wherever it saves time
  • Comfortable using ChatGPT's voice-to-text capability to dictate and draft emails
  • Enthusiastic about using technology to improve efficiency, and motivated to develop those skills further

Some existing experience of using AI tools in daily work would be ideal, but a genuine interest in learning and applying them matters more.

This is a fast-paced, entrepreneurial environment, and the business wants someone motivated by the chance to grow and develop the role over time rather than work to a fixed brief.
