Responsibilities

  • Proactive management of the Executive Director's calendar and pre- and post-briefs.
  • Coordinate travel arrangements and itineraries end-to-end.
  • Prepare information, take minutes, and produce supporting documentation.
  • Process expenses in line with policy and manage events logistics.
  • Provide cover and support for the CEO's Executive Assistant as needed.
  • Produce board papers and establish meeting schedules for stakeholders.

Job description

We are working on behalf of a highly respected sports organisation to recruit an Executive Administrator. This is a confidential search, and full details of the organisation will be shared with shortlisted candidates.

This is an excellent opportunity to gain experience in a fast-paced, high-profile environment, working closely with senior leadership and playing a key role in the smooth running of the business. The successful candidate will provide administrative support to the Executive team in an efficient and professional manner, working with an organisation that values proactive support, wellbeing, and professional development.

Location:

Dublin, Hybrid, with occasional oversees travel required.

Key Responsibilities
  • Proactive management of an Executive Director's calendar, anticipating changes and coordinating pre-briefs and debriefs as needed
  • Coordinating travel arrangements and itineraries, ensuring a smooth end-to-end process
  • Preparing information, taking minutes, and producing supporting documentation as required
  • Processing expenses in a timely manner, in line with company policy
  • Managing ticket, hospitality, and hosting requests for events
  • Ensuring gift and hospitality forms are submitted ahead of external events
  • Providing administrative and planning support for internal events, including venue liaison and travel arrangements
  • Providing cover for the Executive Assistant to the CEO when required
  • Establishing and communicating meeting schedules to relevant stakeholders
  • Preparing meeting papers and board packs to a consistent, professional standard
  • Acting as minute taker at senior leadership and board meetings
  • Providing reception cover during afternoons and holiday periods
  • Remaining flexible and adaptable, supporting other areas of the business as required
About You
  • Proven experience supporting senior leadership
  • Extensive diary and calendar management experience
  • Advanced working knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • Excellent verbal and written communication skills
  • Strong attention to detail and proofreading skills
  • Experience taking formal meeting minutes
  • Ability to build positive working relationships with stakeholders, both nationally and internationally
  • A professional, polished manner when representing the Executive team
  • Ability to work independently and manage a busy, changing workload
  • Resilience and stamina to handle competing priorities under pressure
  • A flexible, can-do attitude and willingness to support beyond your core remit
  • Comfortable working in a fast-paced environment
