Job summary

Akasha Luxury Villas & Boutique Hotel in Bali seeks a detail-oriented reservations professional to manage bookings across OTAs and direct inquiries. You will maintain inventory and rates, enter guest data into the PMS, and coordinate with Front Office, Housekeeping, and F&B to fulfill guest requests.

You should have 1–2 years in reservations or front office in hospitality, strong English communication, and proficiency with PMS/VHP and Extranets to ensure accurate, timely confirmations.

Qualifications

• 1-2 years of experience in Reservation, Front Office, or E-Commerce within the hospitality industry.
• Proficient with PMS/VHP and OTA Extranets.
• Manage bookings across OTAs, direct inquiries, travel agents, and group reservations.
• Enter reservation data into the PMS with guest details, stay dates, room types, and special requests.
• Handle guest inquiries promptly via email, phone, and messaging platforms (WhatsApp).
• Coordinate guest special requests and arrangements with Front Office, Housekeeping, and F&B teams.
• Verify payment proofs, deposits, and credit card authorizations for accurate confirmations and proforma invoices.

Responsibilities

• Process and confirm bookings from various channels (OTAs, direct inquiries, travel agents, group reservations).
• Maintain and update room inventory, rates, and availability across all platforms and Extranets.
• Ensure all reservation data is accurately entered into the PMS with guest details and stay dates.
• Respond to guest inquiries promptly by email, phone, or messaging apps.
• Coordinate with Front Office, Housekeeping and F&B to arrange guest requests.

Requirments :

• 1. Min. Experience: 1–2 years of experience in Reservation, Front Office, or E-Commerce within the hospitality industry
• 2. Process and confirm bookings from various channels including Online Travel Agencies (OTAs), direct inquiries, travel agents, and group reservations
• 3. Manage and maintain room inventory, rates, and availability across all sales platforms and Extranets (Booking.com, Agoda, Airbnb, etc.)
• 4. Ensure all reservation data is accurately entered into the Property Management System (PMS/VHP) including guest details, stay dates, room types, and special requests
• 5. Handle guest inquiries and correspondence promptly and professionally via email, phone, and messaging platforms (WhatsApp)
• 6. Coordinate guest special requests and arrangements (airport transfers, special setups) with Front Office, Housekeeping, and F&B teams
• 7. Verify payment proofs, deposits, and credit card authorizations, ensuring accurate booking confirmations and proforma invoices are issued
• 8. Proficient in relevant software & tools (PMS/VHP, OTA Extranets, Microsoft Excel/Google Sheets, Word/Docs, Outlook/Gmail)
• 9. Strong communication skills in English (verbal and written), detail-oriented, with excellent time management abilities
