Job summary

BINUS Group is seeking a dedicated coordinator to manage the departure process for students/candidates going to Japan. The role involves close liaison with Japanese companies, supervisors, and partners, ensuring documents and timelines are meticulously handled.

You will oversee contracts, visas, COEs, and other admin tasks, coordinate with internal teams, and respond to partner inquiries. The position is Jakarta-based in a corporate setting, requiring Japanese business communication proficiency.

Qualifications

• JLPT N2 required.
• Bachelor’s degree from a reputable university.
• Prior work experience in a company/organization with Japanese business relations preferred.
• Experience handling administrative documentation.
• Strong ability to manage work schedules and timelines.
• Proficient in business Japanese communication.

Responsibilities

• Manage and monitor the departure timeline of students/candidates to Japan from selection to departure.
• Maintain intensive communication with Japanese companies, supervising organizations, and partners via verbal and formal email.
• Coordinate preparation and completeness of departure documents (contracts, visas, COE, etc.).
• Coordinate with internal teams (training, management) to ensure candidate readiness.
• Handle follow-up requests from Japanese partners regarding candidate data or docs.
• Ensure compliance with timelines and administrative standards by partners and authorities.
• Prepare, organize, and maintain documentation archives and operational reports.
