About the role

PT United Waru Biscuit Manufactory is seeking an experienced Export Supervisor to join our dynamic sales and client administration team. This is a full-time position based in Sidoarjo, East Java, and represents a key role in overseeing our export operations and ensuring seamless coordination between our manufacturing facility and international clients. As Export Supervisor, you will be instrumental in managing export processes, maintaining client relationships, and driving the efficiency of our global distribution network. This role is critical to the success of our international business expansion and directly impacts our reputation in overseas markets.

Key responsibilities

• Supervise and coordinate all export documentation, including preparing bills of lading, commercial invoices, certificates of origin and customs declarations
• Manage communication with international clients, freight forwarders and customs authorities to ensure timely shipment of products
• Monitor export orders from receipt through delivery, tracking shipments and resolving any issues that arise during transit
• Ensure compliance with international trade regulations, export laws and company policies for all shipments
• Liaise with the warehouse and production teams to coordinate product availability and loading schedules for export orders
• Maintain detailed records of export transactions, shipments and client correspondence for audit and reporting purposes
• Prepare regular reports on export performance, including shipment volumes, delivery timelines and customer feedback
• Handle customer inquiries related to orders, pricing and logistics, providing professional and timely responses
• Coordinate with logistics partners to optimise shipping routes and reduce transportation costs
• Train and guide junior administrative staff on export procedures and best practices

What we're looking for

• Proven experience working in export administration or client services within a manufacturing or trading environment, preferably 3-5 years in a supervisory or senior administrative role
• Strong knowledge of international trade procedures, documentation requirements and customs regulations
• Excellent organisational and time management skills with the ability to manage multiple export orders simultaneously
• Proficiency in export management systems and Microsoft Office applications, particularly Excel and Word
• Outstanding written and verbal communication skills in English; proficiency in additional languages is advantageous
• Detail-oriented with strong accuracy in documentation and record-keeping
• Ability to work independently whilst collaborating effectively with colleagues across different departments
• Problem-solving capabilities and flexibility in adapting to changing international trade requirements
• Knowledge of food industry export standards and regulations is preferred
• Demonstrated experience in client relationship management and customer service excellence
