Job summary

PT Universal Luggage Indonesia is seeking an Export Logistics Coordinator to manage end-to-end export operations, ensuring accurate documentation, compliance, and timely delivery.

The role requires strong communication across Sales, Warehouse, Finance and external partners, plus proficiency in Excel and English; Mandarin is a nice-to-have. This on-site position is based in Indonesia.

Qualifications

• Bachelor's degree in Logistics, Supply Chain, International Trade, Business Administration, or related field.
• Min 1 year of experience in sales administration, invoicing, and export documentation.
• Deep understanding of end-to-end logistics, sea/air freight, customs procedures, and Incoterms.
• Proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables).

Responsibilities

• Prepare and check export documents: CIPL, AWB, B/L, COO, PEB, and other customs documents.
• Oversee end-to-end logistics and supply chain processes from order placement to final delivery.
• Handle sales order administration, invoicing, and order status tracking.
• Coordinate with Sales, Warehouse, Finance and external partners (Forwarders, Shipping Lines, Brokers).
• Monitor shipment schedules and resolve delays to ensure timely delivery.
• Contact forwarder and arrange containers and vessels.

Job description

This role involves managing and coordinating export logistics and documentation processes. You will oversee end-to-end supply chain operations, from order placement through to final delivery, while ensuring all export shipping documents and customs compliance requirements are accurately prepared and maintained.

Key responsibilities

• Manage, prepare, and check complete export shipping documents, including Commercial Invoice & Packing List (CIPL), Air Waybill (AWB), Bill of Lading (B/L), Certificate of Origin (COO), PEB (Pemberitahuan Ekspor Barang), and other required custom compliance documents
• Oversee end-to-end logistics and supply chain processes, from order placement, warehouse booking, freight forwarding coordination, customs clearance, to final destination delivery
• Handle sales order administrative processes, issue invoices, maintain order status tracking, and ensure accurate data entry for all export transactions
• Coordinate closely with internal departments (Sales, Warehouse, Finance) and external partners (Forwarders, Shipping Lines, Customs Brokers, and Government Agencies)
• Monitor shipment schedules, handle operational troubleshooting, and resolve logistics and documentation delays to ensure timely delivery and customer satisfaction
• Conntact with the forwarder and arrange containers and vessels

Requirements

• Bachelor's degree (S1) in Logistics, Supply Chain, International Trade, Business Administration, or any related field
• Proven experience (Min 1 Years) or strong understanding of sales administration processes, invoicing, and export documentation (CIPL, AWB, B/L, COO, PEB, etc.)
• Deep understanding of end-to-end logistics and shipping processes (sea freight, air freight, customs procedure, and Incoterms)
• High proficiency in Microsoft Office, particularly Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Table, data processing)
• Detail-oriented, highly organized, with exceptional administrative and record-keeping skills
• Strong communication and cross-departmental coordination skills
• Excellent personality with high integrity, strong work ethic, and professional attitude
• Ability to work both independently and collaboratively within a team under tight deadlines
• Proactive problem-solving skills to support smooth sales order execution and logistics workflow
• Proficient in written and spoken English (ability to speak or write in Mandarin is a strong advantage)
