We are looking for an Administration Manager to support the setup and operation of our Indonesia entity, including company establishment, office administration, government liaison, expatriate management, and regulatory compliance. The role may be appointed as a registered Director and Company representative in Indonesia. Initially engaged through an agency arrangement, the position is expected to transition to permanent employment upon the establishment of the Indonesia entity.
Key Responsibilities:
Support the setup and establishment of the Company's Indonesia entity and office.
Coordinate company registration, business licenses, permits, tax registrations, and statutory documentation.
Liaise with government authorities, regulatory agencies, immigration offices, and other relevant bodies.
Manage expatriate administration, including work permits, visas, stay permits, and relocation support.
Coordinate with tax consultants, auditors, legal advisers, notaries, banks, landlords, and external service providers.
Oversee daily office administration, facilities, procurement, office services, and vendor management.
Maintain corporate, statutory, licensing, and tax records.
Support compliance with local corporate, regulatory, tax, employment, and immigration requirements.
Coordinate travel, accommodation, office events, and general business support activities.
Assist in HR administration, employee documentation, onboarding, payroll coordination, and employee support matters.
Monitor administrative budgets, office expenses, and vendor payments.
Act as the Company's local representative in administrative and regulatory matters as authorized.
Where required by the Company, serve as a registered Director and/or authorized signatory of the Indonesia entity for corporate, licensing, banking, and administrative purposes.
Requirements:
Degree in Business Administration, Management, Human Resources, Law, or related discipline.
Minimum 5-8 years' experience in administration, office management, corporate support, or government liaison.
Experience in company setup and office establishment in Indonesia preferred.
Experience handling expatriate work permits and immigration matters.
Strong stakeholder management and government liaison skills.
Good knowledge of Indonesia corporate, administrative, and regulatory requirements.
Proficient in Bahasa Indonesia and English.
Ability to communicate in Japanese would be an added advantage.
