We are seeking an Admin/Receptionist to join our team at our Ubud, Bali location on a part-time basis. You will be working 18:00 to 22:00, taking on a crucial role at the front of our operations. This position is essential to maintaining the smooth running of our office and ensuring that all visitors, clients and team members receive a warm welcome and professional support. As our Admin/Receptionist, you will be the first point of contact for many of our stakeholders, making your contribution vital to our company's reputation and operational success.
Greeting and welcoming visitors, clients and staff with professionalism and courtesy
Managing incoming and outgoing telephone calls, directing them to the appropriate departments or team members
Scheduling and coordinating appointments and meetings
Maintaining the reception area, ensuring it is clean, tidy and well-organised
Processing incoming mail and parcels, distributing them to relevant recipients
Performing general administrative tasks, including data entry and filing
Managing office supplies and ordering materials as needed
Supporting the organisation of company events and meetings
Answering enquiries and providing information to callers and visitors
Assisting other team members with administrative support as required
Proven experience working as a receptionist or in a similar front-facing administrative role
Excellent interpersonal and communication skills, both verbal and written
Strong organisational abilities and attention to detail
Ability to manage multiple tasks and prioritise effectively
Proficiency with office software and telephone systems
Friendly, welcoming demeanour with the ability to remain calm under pressure
Fluency in English; proficiency in Indonesian or other local languages is advantageous
Reliability and punctuality, with availability to work the 18:00 to 22:00 shift
