The Assistant Administrative Manager is responsible for overseeing the Centre's daily administrative operations, facilities and asset management, IT support coordination, logistics arrangements, and vendor management. The successful candidate should possess strong organizational, communication, and coordination skills, with the ability to work independently, manage multiple priorities effectively, and contribute to a professional, efficient, and high-quality working environment.
Key Responsibilities:
Facilities and Workplace Management
- Coordinate and execute procurement and tendering activities for designated projects.
- Manage the maintenance, servicing, upgrading, and vendor administration of Centre facilities and equipment.
- Coordinate and follow up on facility-related matters.
- Oversee cleaning services and maintain effective communication with cleaning personnel.
- Manage lease renewal and related arrangements for the Science Park office and storage facilities.
- Coordinate office insurance policy updates and renewals.
- Conduct workplace safety inspections, participate in site assessments, and prepare reports on office safety conditions.
- Provide supporting documentation to the Finance Department for processing service and professional fees.
Logistics and Administrative Support
- Manage the procurement and inventory of office supplies and operational materials.
- Coordinate local and cross-border logistics, courier, and transportation arrangements.
- Arrange transportation bookings and vehicle reservations.
- Provide administrative support for management and visitors.
IT Support Coordination
- Assist in handling IT-related matters.
- Coordinate and follow up on workstation setup, computer installation and reinstallation, user account configuration, and other technical support activities.
- Manage software installation, updates, and licensing for Centre equipment.
- Provide audiovisual (AV) technical support for Centre events, meetings, and venue activities.
- Participate in cybersecurity-related meetings and initiatives.
Asset Management
- Maintain records of fixed assets, including registration, inventory checks, record updates, and asset tracking.
- Manage operational supplies, consumables, and facility-related resources to ensure sufficient inventory levels and smooth operations.
- Coordinate and respond to staff requests for office equipment, consumables, and accessories.
- Maintain accurate asset records and documentation.
- Liaise with relevant units regarding facility and operational matters to ensure timely support.
Administrative and Documentation Duties
- Prepare administrative reports, follow up on comments and recommendations, and provide responses within stipulated deadlines.
- Prepare reports and submissions for the Census and Statistics Department and other government authorities as required.
- Handle enquiries from government departments via telephone and email.
- Assist in reviewing Centre documents, contractual terms, and implementation procedures.
- Provide emergency on-site support outside normal office hours when required.
Requirements
- Bachelor's degree or above.
- Minimum 5 years of experience in administration, facilities management, procurement, operations, or related fields.
- Proficient in Microsoft Office applications.
- Experience in basic IT equipment management and technical support will be an advantage.
- Excellent written and verbal communication skills in both English and Chinese, with fluency in Mandarin, Cantonese, and English.
- Detail-oriented, responsible, and capable of working collaboratively with strong communication and coordination skills.
