Job Description
Main responsibilities
Duties
- Ensure all guests are attended to promptly and efficiently in a professional manner without delay.
- Update details of regular guests using Guest History.
- Action all diary events, flags, and specials.
- Pass on all guest mail, messages, and parcels promptly.
- Liaise with Housekeeping regarding rooms and lost property.
- Be fully aware of the daily worksheet and ensure it is used.
- Complete guest registration forms correctly and update the computer system accordingly.
- Ensure all account postings are accurate and necessary paperwork is produced.
- Perform an accurate cashiering balance at the end of shifts.
- Maintain security procedures according to policy.
- Complete Express Check out envelopes.
- Maintain and operate security boxes within security procedures.
- Report any safety hazards.
- Handle complaints promptly and efficiently.
- Attend and participate in meetings and training sessions.
- Perform any other duties requested by the Night Manager.
- Provide a correct welcome to all callers and guests.
- Assist with guest valet parking if required.
- Complete all audit tasks as per the Night Auditors checklist.
- Answer incoming calls promptly.
- Distribute reports.
- Handle all cash and credit transactions with related paperwork.
- Assist staff inquiries and seek help if needed.
- Process wake-up calls.
- Pass on shift handover information.
- Report failures or inconsistencies noticed during shift to the Night Manager.
- Demonstrate competency in all duties as required.
- Follow property procedures regarding grooming, conduct, health and safety, emergency procedures, and policies.
- Perform other duties within your competence as required.
- Ensure the safety and security of the property and the smooth running of the hotel's overnight operation.
- Conduct night security rounds.
Talent & Culture Responsibilities
Assist the Management Team by:
- Establishing ongoing On-Job Training Programs using Department Procedure Manuals.
- Inducting new staff into the team and hotel following guidelines.
- Communicating regularly with staff through briefings and information sharing.
Health & Safety
- Notify your Manager if you are unable to perform tasks safely.
- Participate in workplace health and safety consultations.
- Follow safe work practices and hotel policies on health, safety, and environment.
- Keep equipment in good working order and report hazards or incidents promptly.
- Participate in risk assessments and hotel rehabilitation programs.
- Maintain hygiene standards for food handling and presentation.
- Be familiar with fire and evacuation procedures.
- Ensure the security of people and property, including regular security rounds and reporting issues.
Security
- Have full knowledge of all hotel areas and emergency procedures.
- Visit F & B outlets, gym, and garage upon arrival.
- Patrol hotel areas regularly and report hazards or maintenance issues.
- Manage linen room security and other security procedures.
Room Service
- Accurately take and deliver orders.
- Ensure food safety and timely service.
- Keep kitchen tidy.
Systems & Procedures
- Report system problems and suggest improvements.
- Follow policies and procedures outlined in manuals and standards.
- Complete all duties with proper handover documentation.
Customer Relations
- Provide friendly, efficient, and professional service.
- Lead by example and strive for total customer satisfaction.
- Proactively promote hotel facilities and promotions.
- Adopt the company's values and customer service vision.
Other
- Complete tasks accurately and on time.
- Participate in training and meetings.
- Abide by policies on EEO and harassment.
- Maintain confidentiality of hotel and staff information.
- Perform other reasonable duties as required.
- Be monitored and recorded as part of quality assurance.
