TEAM ASSISTANT
A global financial company is seeking 4 Assistants to provide extensive administrative support to Associate and Junior VP-level bankers within an industry group team. This is a demanding role which would suit someone from a customer service or administrative background who thrives in a high-volume workload environment. Full in-house and remote training will be provided alongside ongoing support from the Team Supervisor. Experience of working in a remotely managed environment is a bonus.

TEAM ASSISTANT ROLE:

  • Providing administrative support to executives across multiple cities in a team-oriented environment
  • Managing proactive and detailed calendars across multiple time zones and prioritising meeting requests
  • Coordinating complex meetings, phone and video conference calls
  • Handling a high volume of incoming phone calls and taking accurate messages with professionalism
  • Coordinating domestic and international travel arrangements, including visa procurement
  • Processing expense reports and related invoices in a timely manner
  • Arranging meetings on and off campus, booking conference rooms, catering and guest registration
  • Performing general administrative duties including invoice submissions, time entry, copying, scanning, filing, mailing and archiving
  • Handling highly confidential and sensitive client information with discretion
  • Acting as an integral member of the support team, maintaining awareness of priorities and support required
  • Adhering to compliance regulations and gaining relevant approvals

TEAM ASSISTANT ESSENTIALS:

  • Having 1–2 years’ experience supporting executives in financial services, the private sector or the customer service industry
  • Using Microsoft Word, Excel and Outlook to a high standard
  • Managing competing time-sensitive priorities and tasks
  • Demonstrating dependability and high attention to detail, with the ability to multitask
  • Communicating professionally in person, on the phone, via Zoom and by email at all levels
  • Collaborating as a supportive team player with a positive attitude under pressure
  • Working flexibly and adapting to support across multiple teams
  • Being resourceful and using own initiative in solving issues
  • Maintaining a proactive attitude when managing diaries
  • Exercising discretion when handling confidential business matters
  • Being friendly, approachable and demonstrating a can-do attitude
