AXA Partners is seeking to fill the position of Resource Planning Assistant to join the team in Redhill. The successful candidate will provide a responsive optimisation service to the Operations function in Home & Motor and Travel.
Forecasting
- Ensure resource forecasts and schedules are adhered to; identifying and reporting any service deviations immediately; making recommendations to improve future performance results.
- Identify, analyse and report differences between forecasted and actual performance in area of expertise; giving reasons and detailing suggested corrective action moving forward; gaining buy‑in from operational management team.
- Maintain regular communication (at least monthly) with all stakeholders in area of expertise to ensure all possible drivers of the forecasting models; i.e. ensure seasonal events and future activity is understood and fed into future resource plans; also validate any assumptions.
Reporting
- Design, deliver and review a suite of accurate reports in collaboration with all interested stakeholders on a daily, weekly, monthly and ad‑hoc basis, in line with operational need.
- Clearly document reporting procedures with timescales to enable others to fully understand how to run, develop or amend reports without prior knowledge. Update procedures on a regular basis.
- Communicate collaboratively with staff, managers and internal and external colleagues; providing accurate, clear and easy to understand verbal and written updates, reports and presentations tailored to meet the needs of all stakeholders.
- Use a range of ICT systems to carry out duties as required in accordance with GDPR.
Day to day activity
- Maintain workforce management tool to manage the administration of attendance, sickness, time‑keeping and annual leave records within agreed timescales; building accurate forecasts and schedules to ensure performance optimisation; highlighting any omissions or areas of concern.
- Maintain workforce management information for the customer service centre (individuals, teams, services and entire centre) and liaise with Human Resources to validate payroll information.
- Monitor day to day call patterns, staffing levels and adherence; adjusting shift and break activity and making recommendations in order to optimise resources; reacting in a timely fashion when day to day activity is working against forecast plans.
- Challenge the operational management team if their actions work against forecasts and/or have a detrimental effect on performance, by suggesting more suitable solutions as and when appropriate.
- Excellent understanding of how processes, performance and systems impact on customers and customer segments.
Qualifications
- Previous demonstrable experience in a forecasting, monitoring and/or reporting role.
- Excellent verbal and written communication skills at all levels.
- Excellent standard of written English and grammar.
- Strong organisation, prioritisation, time management and multitasking abilities.
- Excellent presentation skills.
- Ability to analyse and explain complex situations in a clear, logical manner.
