Location: Remote from Latin America
Position Type: Full-time
Salary:$1,200 - 1,800 USD/month depending on experience paid via wire transfer, PayPal or Payoneer
Schedule: Monday – Friday 8:00 AM – 5:00 PM Eastern Time

Job Overview:
Our client is seeking a detail-oriented, proactive E-Commerce Operations & Admin Assistant to help keep their daily operations and customer interactions running smoothly. This individual will be the go-to problem solver, handling dashboards, Shopify management, customer service (via Gorgias), logistics (3PL), manufacturer coordination, and all those unexpected operational curveballs that keep their days exciting. They will also play a key role as the first point of contact for customers—answering inquiries, resolving issues, and ensuring every interaction reflects the care and empathy our client is known for. Responsibilities
Operations & Admin
  • Maintain and update operational dashboards to track key metrics and inventory.
  • Coordinate with 3PL providers to track shipments, manage inventory, and resolve fulfillment issues.
  • Attend meetings, track to-dos, take minutes, and update Airtable.
  • Edit and organize reports to facilitate quick decision-making.
  • Liaise with manufacturers to monitor production schedules, order statuses, and quality concerns.
  • Handle day-to-day operational surprises with agility and clear communication.
  • Create and update product knowledge databases to support both customer service and internal decisions.
  • Maintain and enhance the customer FAQ section.
  • Work closely with the team to tackle high-priority tasks—planned or unexpected.
Customer Service
  • Serve as the first line of communication with customers via chat, email, messages, and phone using Gorgias and other tools.
  • Provide clear, empathetic, and timely responses to customer inquiries, issues, and feedback.
  • Troubleshoot common problems related to orders, shipping, and product usage.
  • Escalate complex concerns when necessary while ensuring customers feel supported.
  • Update and tag tickets with accuracy for internal reporting and tracking.
  • Help identify and suggest improvements to common customer pain points and workflows.
  • Monitor and respond to customer messages across platforms, including Shopify, Gorgias, and social channels (e.g., DMs via AgoraPulse if applicable).
Qualifications, Skills, and Key Competencies
Required:
  • Experience with Shopify store management or similar e-commerce platforms.
  • Genuine passion for customer service, with experience supporting customers in e-commerce, retail, hospitality, or other service-oriented industries—more than just closing tickets, you take pride in creating positive, helpful experiences.
  • Fluent or native-level English (spoken and written).
  • Advanced skills in spreadsheets and dashboard tools (Google Sheets, Excel).
  • Experience using AI tools beyond prompting—especially for interpreting, summarizing, and organizing data.
  • Strong organizational skills with the ability to manage multiple tasks.
  • Proactive problem-solver with excellent attention to detail.
  • Comfortable working remotely with minimal supervision.
  • Ability to communicate clearly and kindly—whether it’s over email, chat, or phone—and a talent for making people feel heard and supported.
  • Experience supporting U.S. customers (Canadian and European markets are a plus).
Preferred:
  • Familiarity with customer service tools like Gorgias and AgoraPulse.
  • Experience with 3PL logistics and inventory management.
  • Familiarity with working directly with manufacturers or suppliers.
  • Comfortable using tools like Notion, Slack, and Airtable to stay organized and keep things moving.
  • Previous experience in a startup or fast-paced environment.
  • Interest in or experience with sustainable or eco-friendly products.
