Job description

An exciting opportunity has arisen for a confident and motivated Receptionist to join our facilities department, based at our head office in Caterham. The postholder will be required to provide comprehensive front‑of‑house support by professionally managing incoming calls, messages, and visitor reception. Additionally, they will be acting as the first point of contact, ensuring enquiries are handled efficiently and courteously, and consistently project a welcoming, organised, and professional image of the Company. Hours of work: This role is 5 days per week (Monday‑Friday), covering the morning shift on Reception. Normal working hours are 8am until 1pm (25 hours per week). On occasion, the post holder might need to swap to the afternoon shift, and cover sickness or holiday as required.

Responsibilities
  • Manage incoming calls, redirecting as required and relaying messages via email
  • Greet and manage visitors and contractors, ensuring sign‑in procedures are followed
  • Maintain staff records, including joiners and leavers, and manage office access using company systems
  • Keep the reception area tidy, professional, and representative of the company at all times
  • Handle incoming and outgoing post, parcels, and special deliveries, maintaining accurate logs
  • Monitor and report switchboard faults, raise IT and Facilities maintenance tickets as required
  • Organise internal and external meetings and office events
  • Support health, safety, and emergency procedures, including fire and evacuation protocols
  • Order and manage office supplies, stationery, and refreshments, liaising with suppliers
  • Provide ad hoc administrative support to other departments as needed
  • Assisting departments with administrative duties

You will be confident and self‑motivated, with strong organisational skills to manage a busy and varied workload effectively. You will have excellent interpersonal and communication skills, enabling you to liaise professionally with staff at all levels, as well as contractors, clients, and visitors. Your approachable and organised manner will ensure a positive first impression and support the smooth day‑to‑day running of the business.
