Overview

To provide an efficient and courteous reception service to patients, relatives/carers, Medical Outpatients and the wider Trust. Deal with complex telephone queries from patients, GPs, Consultants and the wider Trust and recognise when advice is required from more senior or clinical staff. Arrange appointments for patients in accordance with guidelines and Trust Access Policy, communicating with patients by telephone and giving details of the appointment and preparation in language appropriate to that patient. Demonstrate a high standard of customer care by being courteous and helpful at all times to patients, visitors and staff. Change/reschedule appointments at the request of patients or clinicians in line with Trust Access Policy. Communicate complex information regarding Medical Outpatients appointments and results to departments within the Trust and externally. Report faults/problems with the department's IT systems or interfaces to the IT Department, often conveying complex or technical information. Liaise with the administration and clinical teams when booking appointments to ensure bookings are on the appropriate lists. Input data and maintain the integrity of data held in the Hospital Information System (CaMIS). Record all department requests accurately and timely using electronic and manual systems. Purpose and Scope

Responsibilities
  • Cancel or change appointments according to clinic rules and procedures.
  • Carry out reception duties in out-patients clinics with accurate maintenance of computer details.
  • Pre-clinic preparation, including checking necessary paperwork for patient reviews, ordering and booking hospital notes as required by the Department.
  • Scan attendance notes onto the system.
  • Admit, discharge and transfer patients on CaMIS.
  • File and scan patient records of Same Day Emergency Care Specialist notes.
  • Handle photocopying, referrals as required and all routine office duties.
  • Deal with enquiries from members of the public and liaise with all levels of staff.
  • Be aware of the Data Protection Act, Fire, Health & Safety and adherence to Trust Policies.
  • Attend mandatory courses within due times and perform any other duties as required.
  • Liaise with multidisciplinary teams across all directorates and convey information accurately and concisely.
  • Participate in in-house training and awareness sessions to keep up to date with transit time targets.
  • Provide general information about the Medicine Unit and support the efficiency of the workplace.
  • Work as part of a team and on own initiative, with good IT skills and the ability to communicate effectively under pressure.
  • Be flexible to work across different areas within the department as required and support colleagues to ensure tasks are carried out promptly with patient experience at the forefront.
  • Operate under pressure and be self-motivated.
  • This role is fixed term until 31 March 2026. Two posts available: Post 1 Full time 37.5 hours per week; Post 2 Part time 33 hours per week.
Requirements
  • Enthusiastic individuals to join the busy Medicine division team, working with Consultants/nurses and the Multidisciplinary team to support non-clinical elements that enable efficient workflows.
  • Good communication skills, methodical approach, willingness and aptitude to learn in-house IT systems.
  • Ability to liaise with and provide support to all team members to ensure timely and efficient task completion, keeping patient experience at the forefront.
  • Ability to work as part of a team and independently, with a flexible approach to work across areas within the department.
  • Good general computer skills, effective communication, and the ability to work under pressure.
