You will provide essential administrative, coordination, and organisational support to ensure the efficient operation of a global change program. Your responsibilities will include :

  • Documentation Management : Maintain and update critical program documentation, including plans, logs, trackers, and reports, ensuring accuracy and accessibility.
  • Data Handling : Produce and meticulously manage Excel spreadsheets for action logs, RAID logs, schedules, and financial tracking.
  • Meeting Coordination : Schedule and expertly coordinate meetings, workshops, and governance forums, ensuring seamless execution, while capturing key actions and decisions.
  • Task Management : Translate high-level direction into clear, actionable task lists and track progress against actions, proactively chasing updates to maintain project timelines.
  • Stakeholder Liaison : Serve as a key point of contact between program team members, vendors, and stakeholders to foster effective communication.
Requirements
  • Organisational Skills : You possess strong organisational and time-management skills with unwavering attention to detail.
  • Tech Proficiency : You are proficient in Microsoft Excel and Word, with a proven track record of using trackers, logs, and structured documents.
  • Communication : You have clear and confident interpersonal skills, capable of engaging effectively with senior stakeholders and asking clarifying questions to ensure alignment.
  • Experience : You have experience supporting project or program teams, ideally in PMO or administrative roles, and are comfortable operating in a fast-paced environment.
