Job summary

A utility services provider in Hedge End is looking for a Procurement Administrator/Trainee Buyer to support procurement operations.   • Raise purchase orders and ensure compliance.
  • Monitor delivery schedules and follow up.
  • Chase Proof of Deliveries (PODs) promptly.

  • Maintain supplier documentation ensuring compliance.
  • Work with project teams for efficient supply chain operations.
  • Conduct cost analysis to support budgeting.

We are looking for a Procurement Administrator/ Trainee Buyer to support our procurement manager with sourcing, negotiating and purchasing the materials and services that power our multi-utility projects.

Responsibilities
  • Management of email account inboxes, including supplier registrations, ensuring prompt and accurate responses.
  • Handle incoming calls providing assistance and resolving queries professionally.
  • Monitor inventory levels and collaborate with suppliers and the warehouse team to maintain optimal stock levels.
  • Prevent shortages by proactive planning and timely ordering.
  • Assist with sourcing new suppliers and products to enhance procurement options.
  • Raise purchase orders for stock orders, collections, and direct-to-site deliveries, ensuring accuracy and compliance.
  • Monitor delivery schedules and back-order reports, actively following up to minimise delays.
  • Chase Proof of Deliveries (PODs) to confirm receipt of goods and address discrepancies promptly.
  • Allocate invoice costs and resolve invoice queries to maintain accurate financial records.
  • Maintain supplier and subcontractor documentation, ensuring compliance and up-to-date records.
  • Work alongside project teams to plan materials and logistics for efficient supply chain operations.
  • Conduct cost analysis on current and new products to support budget management and cost‑saving initiatives.
