Overview

Personal Assistant/Executive Secretary

My client is a leading organisation based in Belfast, who are currently seeking an experienced Personal/Executive Assistant to join their team on a Temporary basis.

This is a Full-Time, Temporary position - initially for 3-4 months.

Working Hours: 37 hours per week/flexi-time core working time of 10-12 and 2-4.

With an hourly rate of £13.53 to £15.80per hour (dependant on experience)

Benefits: Hybrid working providing up to 2 days working from home per week. Free on-site car parking and EV charging.

Job Role

You will be responsible for providing an administrative support service to the full Senior Leadership Team comprising the Comptroller and Auditor General, Chief Operating Officer and 6 Directors. This will include primarily managing diary/calendar and email inbox monitoring and management to include dealing appropriately and promptly with correspondence and follow up for the senior leadership team.

Essential Criteria
  • At least 1 years' experience of Personal Assistant/Executive Assistant duties supporting senior management, gained within the last 5 years
  • A minimum of 5 GCSEs at grade C or above to include English Language
  • Knowledge and practical experience of word processing, spreadsheets and databases
  • Strong IT skills
  • Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels
  • Ability to work on your own initiative as well as part of a team
  • Ability to manage and prioritise a busy workload while adhering to deadlines
  • Excellent accuracy and attention to detail with strong organisational skills
  • Ability to maintain confidentiality at all times
Main Duties and Responsibilities
  • Managing Diaries and arranging meetings
  • Dealing with telephone calls, emails and correspondence promptly including appropriate follow up and redirection
  • Providing administrative support to the Comptroller and Auditor General, Chief Operating Officer and 6 Directors as may be required including drafting response to correspondence and data collation
  • Taking minutes at various meetings
  • Supporting events and meetings with setup arrangement and hospitality as required
  • Full word processing, spreadsheet and database service

  • Providing hospitability as appropriate
  • Maintaining and updating knowledge by identification of own training and development needs, updating skills and attending relevant training courses as agreed with manager
