Job Description

This role is based 5 days a week at our London HQ.

  • Serve as the team’s right hand, managing tasks they cannot do due to their tight schedules. Understand the team’s wants, strengths, and weaknesses, and handle all tasks accordingly.
  • Manage incoming memos and business-related documentation, screen them, and coordinate with relevant team members for timely follow-ups, setting priorities, and recommending support where needed.
  • Lead basic research and organize relevant data for internal or external use. Prepare documentation for executives.
  • Manage and coordinate complex diaries across multiple time zones for two stakeholders.
  • Coordinate international and national travel, including producing VISA and entry documentation and processing expenses.
  • Arrange and prepare for meetings and conferences, including editing presentations, agendas, and IT setup.
  • Record minutes from meetings, distribute them, and guide follow-ups.
  • Use various software including Word, Excel, PowerPoint, and other databases. Knowledge of design software like Canva and Monday.com is advantageous.
Qualifications
  • Proven experience as an EA or PA in a fast-paced environment.
  • Excellent organizational skills, multitasking ability, and attention to detail.
  • Flexibility and adaptability to different working styles and situations.
  • Strong business sense and quick pivoting abilities.
  • Trustworthy with confidential information.
  • Proactive, with initiative and improvement mindset.
  • Tech-savvy, proficient in Microsoft Office and in-house packages.
  • Experience with budgeting and purchase orders.
