We are looking for a highly organised, bilingual (Polish/English) Office Coordinator / Personal Assistant to join our growing team at Steelo. The successful candidate will provide day-to-day support to the Managing Director while coordinating across departments, maintaining compliance records, and ensuring the overall efficiency of office operations.

We’re Hiring: Bilingual Office Coordinator / Personal Assistant

Location: Feltham, TW4

Hours: Monday to Friday, 08:00–16:00

Salary: Starting from £30,000 per year (depending on experience)

Employment Type: Full-Time, Permanent

The successful candidate will provide day-to-day support to the Managing Director while coordinating across departments, maintaining compliance records, and ensuring the overall efficiency of office operations.

Key Responsibilities

Executive Support & Coordination

  • Provide personal assistant support to the Managing Director
  • Manage calendars, meetings, and internal communications
  • Coordinate between departments including logistics and production
  • Organise company meetings and assist in planning internal events

Compliance & Documentation

  • Prepare for and assist with audits (ISO, Health & Safety, etc.)
  • Maintain and update certifications, licences, and internal records
  • Ensure deadlines are met and documentation is up to date

Office Management & Admin

  • Oversee office supplies and consumables
  • Manage filing systems (digital and physical)
  • Support basic financial admin including invoice tracking and supplier contact
  • Handle day-to-day office queries and liaise with contractors or service providers

HR & Recruitment Support

  • Assist in recruitment (posting vacancies, interview scheduling, onboarding)
  • Help maintain staff records and support employee engagement initiatives
Skills & Qualifications

We’re looking for a motivated, detail-oriented individual with strong communication and time management skills.

Essential:

Bilingual – fluent in Polish and English (spoken and written)

Proven experience as a PA, Office Coordinator, or similar role

Excellent organisation and prioritisation skills

Confident in decision-making and working independently

Strong interpersonal and written communication abilities

Competence with Microsoft Office and Google Workspace

Knowledge of Health & Safety and audit compliance (preferred)
