About The Role

proAV are a leading global audio visual integrator, providing AV and event services across multiple client partnerships globally.

Role Overview

Our immediate requirement is for an experienced Personal Assistant to be a key part of our Egham team, representing proAV, taking full responsibility for looking after the needs of two Directors within the business.

This is an exciting opportunity for an exceptional, experienced Personal Assistant to join an established operation with scope to drive and enhance the service at every opportunity.

Experience and seniority of the position will be reflected by the remuneration and benefits package.

Key Responsibilities
  • Provide full administrative support to the Managing Director and senior management team.
  • Management of emails and relevant filing of such.
  • Organise meetings, including preparing agendas, taking minutes, and following up on action items.
  • Booking of travel, accommodation, restaurants, and other reservations.
  • Handle confidential information with integrity and discretion.
  • Assist with event planning, logistics, and coordination.
  • Liaising with the senior management team and colleagues to review, sign and issue contractual documents.
  • Manage and coordinate employee engagement activities.
  • Generate and update reports using Microsoft Dynamics.
  • Creation and formatting of PowerPoint presentations and Excel spreadsheets.
  • Liaison with colleagues, clients and suppliers.
  • Perform general administrative support and ad hoc duties as needed.
  • Managing and submitting expenses.
  • Understanding of company policy and processes and adherence in both client and internal environments.
  • Assisting with the creation and amendments of quotations and valuations.
  • Ensure that all client requirements are dealt with or escalated in a timely fashion to meet established goals and objectives.
  • Assisting with client support and management.
  • Any personal tasks as assigned by the directors.
  • Assist with maintaining accurate and up-to-date customer records in the CRM system.
  • Liaise with warehouse teams, finance, and project teams.
  • Preparation of handovers for internal departments.
Requirements
  • Proven experience in either office administrative, sales administration or Personal Assistant role.
  • Excellent verbal and written communication skills.
  • Excellent organisational skills, attention to detail, and the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) ad CRM Systems.
  • Self-motivated, with the ability to work proactively and independently.
  • Confident in building positive working relationships across the company.

  • Ability to communicate effectively with people at all levels.
Hours of work

hours per week, hours a day, , including an hour unpaid break, Monday-Friday.
