About the Role

We are looking for a proactive and detail-oriented Operations Support Executive to join our team. This role bridges the gap between Operations and Customer Support, assisting in order processing, warehouse operations, B2B fulfillment, and customer service.

During peak periods, you will also support picking, packing, and dispatching orders to ensure both B2C and B2B shipments are fulfilled efficiently.

Key Responsibilities

Operations & Warehouse Support

  • Assist in B2C and B2B order processing and fulfillment.
  • Ensure that B2B wholesale orders are booked, processed, packed, and labeled correctly for retail partners and distributors.
  • Oversee the management of freight for all shipments—coordinating with couriers and freight forwarders to ensure deliveries are scheduled, tracked, and received smoothly by the warehouse team.
  • Work closely with the warehouse team to prepare for incoming shipments, ensuring all necessary documentation is in place.
  • Review and troubleshoot failed shipment labels, coordinating resolutions with couriers.
  • Manage and track customer returns, ensuring they are logged and processed efficiently.
  • Support the warehouse team by picking, packing, and dispatching orders during peak periods.

B2B Order Processing & Logistics

  • Oversee B2B order management, ensuring all orders are dispatched on time and meet retailer compliance requirements.
  • Prepare and print carton labels, packing lists, and commercial invoices for bulk shipments.
  • Work closely with the Warehouse Operations Manager to ensure all B2B orders are aligned with stock levels and warehouse capabilities.
  • Monitor and assist with stock allocations to fulfill large-scale orders.

Customer Support (B2C and B2B)

  • Respond to customer inquiries via email, live chat, and social media regarding order status, product queries, and returns.
  • Handle refund requests, missing item claims, and delivery issues efficiently and professionally.
  • Maintain and update customer support macros to ensure a quick and streamlined response process.
  • Work closely with the operations team to provide customers with real-time shipping updates.

What We’re Looking For

  • A highly organised and detail-oriented individual with strong problem-solving skills.
  • Experience or a strong interest in B2B operations, logistics, or wholesale fulfillment.
  • A customer-first mindset, ensuring an exceptional experience for both B2C and B2B clients.
  • Strong communication skills (both written and verbal) for interacting with customers, warehouse teams, and courier partners.
  • Ability to multi-task and prioritise effectively in a fast-paced environment.
  • A team player who thrives in both administrative and hands-on operational roles.
  • Tech-savvy – able to navigate e-commerce platforms, WMS systems, and shipping tools.
  • Passion or interest in Asian skincare is a bonus!

Preferred Experience

  • 1-2 years experience in e-commerce, operations, or customer service.
  • Familiarity with warehouse management systems (WMS), or third-party logistics platforms.
  • Experience handling returns, refunds, stock management, and logistics coordination.
  • Understanding of B2B order processing, including carton labeling, compliance, and large-scale fulfillment.
