Job Description:

Administration and Support Executive

Hours: Mon - Friday (9:00-5:30 with 1 hr lunch break). Flexibility for PT hours if available to come into the office 5 days a week.

Working Style: Fully office based

About the Role:

Seeking a dedicated individual to ensure smooth administrative operations within the commercial brokerage team. The role supports brokers and directors from initial enquiries to completion, maintaining professionalism and efficiency.

Key Responsibilities:

  • Manage and distribute new enquiries efficiently.
  • Respond promptly to introducer, client, and lender enquiries.
  • Support the broker team to ensure seamless operation.
  • Answer calls courteously and promptly.
  • Maintain and update client records.
  • Log enquiries on the current system.
  • Assist with diary management and case coordination.
  • Support advisers as needed.
  • Process and log card payments.
  • Perform office duties like photocopying, scanning, filing, and housekeeping.
  • Manage office stationery supplies.
  • Undertake additional reasonable tasks as required.
  • Provide excellent customer service.
  • Work independently and take initiative.
  • Develop effective relationships at all levels.
  • Apply logical analysis and problem-solving skills.
  • Communicate effectively in writing and verbally.
  • Maintain strong interpersonal skills and telephone manners.
  • Propose and implement new ideas and practices.
  • Be proficient in MS Office, databases, and mortgage systems (training provided).
  • Experience in mortgage, banking, or financial services preferred but not essential.
