C&C Search is currently recruiting an Office Manager / EA in an exciting dual role based in Guernsey.

Position: Office Manager and Executive Assistant

Salary: £70-£80,000

Hybrid set up: 5 days in the office

Company culture and what makes them great to work for: This role as Office Manager/ Executive Assistant requires a professional who excels in office operations while providing high-level administrative support to senior executives. We are looking for a calm and experienced EA who will provide primary support for 2 people, whilst looking after an office of 16 people. We are looking for someone unflappable who can come in and hit the ground running.

Office Management
  • Responsible for entire office management of the Guernsey office and ensuring the office is set up to ensure efficiency and smooth workflow;
  • Maintain office supplies, equipment and vendor relationships;
  • Manage office budgets, including expense tracking and invoice processing;
  • Coordinate office events and team meetings;
  • Implement and maintain office policies and procedures;
  • Preparation of room for meetings, welcome and attend to guests, as and when required, arrangements for conference/video calls and presentations,
  • Ensure compliance with local workplace safety regulations;
  • Assist with special projects and company initiatives as assigned;
  • Research and implement office management best practices and technology solutions;
  • Act as first point of contact for all office-related IT issues and coordinate with the Company’s IT team to ensure the smooth running of the Guernsey office technology;
  • Ensure the office reflects the culture: understated, welcoming and well-run.
Executive Assistant
  • Provide comprehensive administrative support to the Managing Director, Operating Partner and Director (the “Principals”), including managing calendars, scheduling meetings, prioritising Principal’s workloads and coordinating travel;
  • Prioritise and follow up on tasks, meetings and key deliverables;
  • Handle confidential information with discretion and professionalism;
  • Provide real-time support and anticipate Principals’ needs in a proactive manner;
  • Serve as a liaison between the Principals and internal/external stakeholders;
  • Manage and input the Principals’ expenses into the Company’s Expense Management System following the Company’s expense policy;
  • Assist with special projects and other initiatives as assigned;
  • Coordinate with other EAs in the Company to ensure seamless support;
  • Provide holiday cover for global assistants and provide support to their teams;
  • Consistently demonstrate behaviours aligned with our Company values, fostering a culture of entrepreneurialism, collaboration and excellence in every interaction;
  • Ad-hoc travel arrangements for the Guernsey team (twice yearly offsites & occasional travel to London and other offices).
Personal Specification – skills and experience required for the role

Demonstrate initiative and understanding of work methods and general running of the company.

  • Excellent communication, organisational skills and ability to prioritise.
  • Flexibility and willingness to meet deadlines.
  • Considerable experience in a senior secretarial role with a high level of secretarial skills and professionalism.
  • Willingness to learn about the administration of funds and companies; how their assets are managed; and any other basic administrative functions.
  • Socially adept to represent the Company and liaise with clients and contacts.

Hours – 9:00-5:30 Monday-Friday
