Job Description

This role is based five days a week at our London HQ.

  • Serve as the team’s right hand, managing tasks they cannot do due to their busy schedules, understanding their wants, strengths, and weaknesses.
  • Manage incoming memos and business documentation, prioritize, and coordinate with relevant team members for follow-up.
  • Lead basic research and organize relevant data for internal or external use, preparing documentation for executives.
  • Manage and coordinate complex diaries across multiple time zones for two stakeholders.
  • Coordinate international and national travel, including Visa and entry documentation and expense processing.
  • Arrange and prepare for meetings and conferences, including editing presentations and setting up IT equipment.
  • Record and distribute meeting minutes, ensuring follow-ups.
  • Utilize software such as Word, Excel, PowerPoint, and databases; knowledge of Canva and Monday.com is advantageous.
Qualifications
  • Proven experience as an EA or PA in a fast-paced environment.
  • Excellent organizational skills, attention to detail, and ability to prioritize.
  • Flexible and adaptable to different working styles and situations.
  • Strong business acumen to pivot plans quickly and act swiftly.
  • Trustworthy with confidential information, respecting privacy.
  • Proactive, with a perception to improve and follow through.
  • Highly proficient with Microsoft Office and in-house tools.
  • Experience with budgeting and purchase orders.
